Administrative Assistant:
Part time position (20 hours/week) Monday-Thursday 9AM-2PM •Hours may vary during training phase
Position Summary:
The administrative assistant (AA) provides general office support to the deputy director, executive director and administrative staff in all departments. In addition, the AA is responsible for completion of grant billing as well as management of the agency volunteer program. The administrative assistant is to uphold the highest standards of professionalism, accountability and integrity by adhering to and modeling the behaviors of the Good Samaritan of the Ozarks Employee Code of Ethics, as well as demonstrating speech and action as defined by the agency mission statement.
Major Areas of Responsibility:
Processes, delivers and records all bank deposits on a daily basis. Including daily deposit pickup and drop off from/to the bank. Assists with bookkeeping and accounting procedures as appropriate and needed. Responsible for data entry Billing, tracking and financial reporting for Federal, State and local grants. Assists with conducting research and compilation of reports as needed Answers telephone calls and greet visitors; referring to appropriate staff member or department. Recruit, train, and organize volunteers using management software and assignment of those volunteers to appropriate department. Responsible for volunteer recognition and coordination of appreciation events Performs other duties as requested by the Deputy Director or Executive Director. Qualifications for
Entry:
Minimum education level of an Associate's Degree or at least two years experience in a similar position. Understanding of poverty, intimate partner violence and oppression of the underserved. The ability to work with people of various backgrounds. Excellent customer services skills required Knowledge in administrative and clerical procedures. Proficient in the use of basic office equipment as well as computer programs, specifically Excel Flexibility to an ever changing environment. Ability to communicate both orally and written in a clear and concise manner. Must be detailed in reporting and possess excellent time management skills. Deadlines and accuracy must be strictly adhered to in grant reporting and billing A willingness to travel to meetings and conferences. Display a willingness to learn and develop new skills.
