Director of Programs & Guest Services Position Summary The Volunteer Coordinator oversees all aspects of Ronald McDonald House Buffalo's volunteer program, including recruitment, onboarding, engagement, stewardship, recognition, retention, and reporting. This position ensures volunteers have meaningful experiences while supporting the organization's mission through a diverse, inclusive, and welcoming volunteer environment. Guided by the belief that "Volunteers are the Heart of the House," the Volunteer Coordinator serves as the primary liaison between volunteers and staff across all departments. Essential Functions Volunteer Management & Administration
- Recruit, screen, interview, onboard, train, place, recognize, retain, and offboard all House, Hospital, Special Event and Student volunteers.
- Manage volunteer records, background checks, handbooks, scheduling, and compliance processes.
- Cultivate relationships with prospective and current volunteers and recommend placements that align with organizational needs and volunteer interests.
- Coordinate volunteer coverage and assignments, including front desk volunteers, shuttle drivers, meal providers, large groups, and other House-based opportunities. Fill vacancies when necessary.
- Collaborate with staff to develop and implement meaningful volunteer opportunities across programs, hospitality, operations, maintenance, gardening, food service, and special projects.
- Conduct House tours, volunteer orientations, and kitchen training while ensuring compliance with food service regulations.
- Collect, maintain, analyze, and report volunteer data, participation metrics, and trends to leadership.
- Represent Ronald McDonald House Buffalo at community events, volunteer fairs, and outreach opportunities to increase awareness, recruitment, and engagement.
- Coordinate volunteer participation at community tabling and outreach events. Program Support
- Partner with all departments to identify volunteer needs and maximize volunteer engagement.
- Respond promptly and enthusiastically to volunteer inquiries and offers of support.
- Assist in developing and implementing volunteer policies, procedures, and best practices while ensuring compliance among staff and volunteers.
- Coordinate corporate and community volunteer projects, including management of the Meal Maker program calendar. Development & Community Engagement
- Partner with the Development Director to identify and cultivate prospective corporate volunteer and sponsorship partners.
- Collaborate with the Development Team to provide volunteer support for fundraising events, community initiatives, and organizational activities. Education & Experience
- Bachelor's degree in Health or Human Services, Education, Nonprofit Management, or a related field.
- Minimum of 3-5 years of nonprofit experience working with volunteers, programs, or community engagement initiatives.
- Supervisory or management experience preferred.
- Experience working with boards, volunteers, donors, and senior leadership preferred. Knowledge, Skills & Abilities
- Knowledge of volunteer engagement best practices and current trends in volunteerism.
- Strong organizational, project management, and analytical skills with the ability to develop plans, execute initiatives, and measure results.
- Proficiency in Microsoft Office, particularly Excel, and experience using databases or volunteer management systems.
- Excellent interpersonal, written, and verbal communication skills.
- Ability to work effectively with individuals of diverse backgrounds, ages, and experiences.
- Strong problem-solving skills and attention to detail.
- Demonstrated compassion, empathy, and professionalism when working with families experiencing a child's illness, injury, or loss. Physical Requirements & Working Conditions
- Ability to sit, stand, walk, lift, and carry up to 25 pounds.
- Ability to communicate effectively in person and by telephone.
- Occasional local travel required.
