POSITION SUMMARY
Plaza de Nuestra Comunidad is seeking a full-time bilingual (English/Spanish) Students Services & Volunteer Coordinator for our Education Department to work with administration staff, instructors, community partners, volunteers, and students to ensure successful delivery of educational programs. The coordinator also assists with office coordination and other administrative tasks. The Student Services and Volunteer Coordinator must be capable of efficiently coordinating multiple activities and meticulously attending to details. This is largely an outward-facing role and the coordinator must be skilled at and enjoy working with people. The Student Services and Volunteer Coordinator works closely with the Education Program Manager to contribute to a high-functioning Education team.
PRIMARY TASKS & RESPONSIBILITIES
The primary tasks for this position are detailed by role to provide a clear understanding of the work that is entailed. These are the key requirements, but are not fully inclusive of all responsibilities. Student Services Provide information about class schedules, programs, and fees Help register students in different programs as needed Make and update class lists for teachers each session and each week of the session Compile and enter attendance information into database at the end of each session Collect student class fees and monitor amount of petty cash on hand Administer and document English placement exam procedure Assist with special events (including organizing and making materials) Assist with special projects as they arise Periodically attend programs Assist students with a variety of technological needs for accessing class and information related to classes Volunteer Coordination Recruit, screen, and schedule volunteers Create, update, and distribute orientation materials and/or meetings before each session to new volunteers Maintain clear, prompt, and professional communication with scheduled and prospective volunteers Maintain clear, prompt, and professional communication with teachers regarding volunteer needs and preferences Administer volunteer feedback surveys and analyze responses Track and record all volunteer hours in an internal database Visit classrooms to observe volunteer/teacher interactions Keep constant communication with Education Program Manager about volunteer coordination General Office Coordination Classroom coordination - arrange refreshments and ensure shared classrooms are left in good condition Supplies Management Maintain public spaces in good condition
REQUIRED QUALIFICATIONS
The successful candidate will be friendly and respectful, have a passion for our mission, enjoy working with people from a wide variety of cultures, be proactive, and work well independently and as part of a team. Candidates must be organized, efficient, able to effectively maintain clear records, and resourceful with good problem-solving skills. Specifically, the position requires a candidate with the following skills and qualifications: Ability to speak, write, and understand Spanish and English (language skills will be tested). 1+ years of experience in coordinating programs or other logistics Associate's degree, or an equivalent combination of education and/or experience Ability to coordinate multiple programs and activities simultaneously while meeting deadlines Excellent organizational skills with attention to detail; comfortable multi-tasking Able to work independently Flexible and open to change Team-oriented, problem solver Outstanding phone and customer service skills Clear and respectful communicator Proficiently use computer software including Microsoft Excel & Word Proficiently use Google Drive Sensitivity to, and ability to maintain, personal & confidential information Be capable of building relationships of trust with people from diverse ethnic, educational, and cultural backgrounds Exhibit consistent, reliable follow through on tasks and goals Our ideal candidate will: Be eager to learn and grow in the role - some of the required skills can be learned on the job Have experience working with volunteers Demonstrate trauma-informed communication skills Have conflict resolution and de-escalation skills Work Schedule & Location This is a full-time position, 32-40 hours per week, depending on the time of year. Some evening hours are required in the fall and spring terms when evening programs are held. The primary work location is in Springfield, although some hours are spent at programs held in other locations in the community. Must have own, reliable transportation to travel between work sites.
