Job Description

Job Description Position:
Volunteer Coordinator Department:
Operations Type:
Part-Time (~20 hrs/week) Reports to: Executive Director About AMEN House, Inc. The AMEN House is Scott County's largest hunger-relief organization, feeding 4,000 people each month with over 1,500 volunteers who distribute 2 million pounds of food annually. The non-profit organization was founded over 36 years ago and is an affiliate member of Feeding America and a God's Pantry enabled food pantry. AMEN House Culture Every day, a group of talented, passionate, committed, hard-working individuals come together to work on a common goal - to end hunger in Scott County. Specifically, our role is to improve the lives of those in need by providing nutritious food at no cost. AMEN House's family of hunger-relief staff and volunteers work together with compassion, commitment and a shared belief that no one should go hungry in Scott County. Volunteering at the AMEN House must not only address the operational needs of the organization but foster an environment that ensures that all volunteers are valued, have positive volunteer experiences and feel that they are making a difference and contributing to something bigger than themselves. Job Summary The Volunteer Coordinator is responsible for recruiting, scheduling and tracking volunteers to serve in fulfilling the AMEN House's goal to feed the food insecure in Scott County. Working closely with the Chief Operations Officer, the Direct Team Coordinators and other team leads, the Volunteer Coordinator will recruit and manage the scheduling of volunteers to help with daily client services, to rescue food from our partners, to deliver food to clients unable to get to the AMEN House and to support special events such as supplemental food box assemblies or food box distributions. The Volunteer Coordinator is the driving force behind developing a vibrant volunteer pool and ensuring that all activities are properly staffed. Working in conjunction with the Chief Operations Officer, Thrift Store Managers, Lead Chef, and other volunteer team leads, the Volunteer Coordinator will determine all AMEN House volunteer needs and successfully recruit and schedule people to staff these needs. This person will therefore need to be aware of all volunteer requirements, understand the skills required for each volunteer role and provide timely scheduling of volunteers to meet the operational needs of all AMEN House activities. This person is responsible for establishing communications with the volunteers, ensuring that important organizational information is routinely shared with all volunteers. This person is responsible for ensuring that all volunteer activities are tracked and logged into the Volunteer Tracking System. This person will be responsible for vetting all volunteers for appropriateness in serving and for scheduling volunteers to provide proper staffing for daily client services and all other activities. This person must be able to balance the organization's needs for volunteers with the interests and assets of those who want to serve and encourage creative thinking of our volunteers to identify and address needs of the organization. This person must be able to create space for the engagement of a wide diversity of volunteers and be able to mentor volunteers through shared expertise. The ideal candidate must be organized, diligent in creating and following up with volunteer leads, have excellent interpersonal skills, exhibit creativity in solving staffing requirements, develop a good understanding of all volunteer roles and be willing to fill in for volunteers when needed. This person must be proficient in using computer software. This person must be a good listener and be willing to consider and implement suggestions when necessary.
Specific tasks include:
  • Review all volunteer applications to identify appropriate qualifications and roles for each.
  • Conduct phone interviews to discuss qualifications and expectations of each AMEN House opportunity in which the applicant is interested.
  • Conduct in-person meetings (along with the COO) with applicants who are required to complete court-ordered community service. Applicants must provide copies of court documentation prior to approval.

  • Coordinate and conduct a twice-monthly New Volunteer Orientation session.
  • Assist with new volunteer training as requested by Opportunity Managers/COO.
  • Maintain a list of entry-level and experienced-level roles in each opportunity, as well as requirements and documentation for roles (background checks, Oasis training, driver's licensing, insurance information).
  • Resubmit background checks for volunteers in experienced positions every 2 years.
  • Input and maintain updated information in Bloomerang regarding all volunteer role requirements and certifications.
  • Contact/purge volunteers each month who have been inactive for 12 months.
  • Coordinate volunteer appreciation activities 1-2 times per year.
