Job Description

Under the general supervision of the Dean of Health and Human Services, the
Academic Support Specialist:
School of Health and Human Services provides comprehensive administrative support and coordination for academic programs, departments, and teams across the college. This role serves as a central resource for administrators, faculty, staff, students, and community partners, ensuring smooth operations and effective communication. Responsibilities include managing schedules, coordinating events, maintaining records, and supporting program activities. The position requires strong organizational skills, attention to detail, and the ability to work both independently and collaboratively in a fast-paced environment. The Support Specialist may assist with special projects, internal systems, and external communications, and may occasionally work evenings or weekends to support college initiatives.

This list is not all-inclusive; other duties may be assigned. School of Health and Human Services Support Oversee and monitor student clinical onboarding requirements (background checks, immunizations, TB testing, CPR certification, and health forms) and ensure timely distribution to clinical partners while verifying student eligibility. Serve as liaison with clinical partners regarding student placements and compliance requirements. Coordinate clinical placements for the nursing program across hospitals, long-term care facilities, and community health sites. Provide support to adjunct and transcripted credit instructors by coordinating resources and resolving issues as needed. Support data collection and analysis for program accreditation, program review, and regulatory compliance reporting. Provide assistance in tracking, updating, and maintaining affiliation agreements with clinical partners. Assist with maintaining and updating affiliation agreements with clinical facilities to ensure compliance and continuity of partnerships. Assist in planning and facilitating student orientations and related activities. Administrative Support Assist with scheduling needs by coordinating appointments and booking meeting spaces to support efficient departmental operations. Utilize institutional software systems for course scheduling and reporting functions. Provide support to faculty, including onboarding, scheduling assistance, and access to institutional resources. Assist with travel arrangements, including registration, transportation, and lodging needs. Assist with planning executing special events, including recruitment and outreach activities. Engage in college-wide initiatives by actively participating in committees, projects, student-focused activities, and events. Ensure compliance with state, federal, and grant reporting requirements. Develop and maintain collaborative relationships with external partners by managing contact lists, initiating professional communications, facilitating joint activities, and delivering presentations as needed. Organize and coordinate departmental and advisory committee meetings. Programs Support Collaborates with faculty and other college staff to support student learning needs. Serve as the primary point of contact for student inquiries, providing guidance, resources, and access to academic services. Administer budget processes, including monitoring expenditures, processing purchases, managing procurement cards, and preparing monthly financial summaries. Assist with inventory and manage instructional resources to support departmental and program needs. Maintain accurate documentation for courses, schedules, academic records, and official communications. Develop and distribute internal communications, promotional materials, or newsletters; collaborate with marketing to produce informational content.

Excellent written and verbal communication skills, with the ability to interact professionally and effectively with diverse stakeholders. Ability to work independently and collaboratively while fostering positive and productive relationships. Critical thinking and problem-solving skills to support sound decision-making. Strong capability to create, manage, and maintain accurate databases, reports, and documentation to support institutional operations. Adaptability to fast-paced environments and commitment to promoting inclusivity and diversity. Demonstrated integrity, discretion, and ability to maintain confidentiality in all interactions. Proficiency in learning and utilizing evolving communication and instructional technologies, including college systems and software applications.
Physical Demands:
The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of the job. While performing the duties of this job, the employee will be exposed to normal office conditions and usual office equipment such as telephone, personal computer, printers/copiers, reports and files. The employee will be constantly required to sit, talk, hear, and type/ write. The employee will be frequently required to stand, walk, touch/handle/grasp (using hands and fingers), and reach with hands and arms. The employee must occasionally bend or squat and lift and/or push up to 25 pounds of general office items. Specific vision abilities required by this job include close, far, and field of vision. This position requires regular and punctual employee presence.
Required Qualifications:
Associate degree in administrative support (or within six months of receiving said degree), office management, business, or a related field Minimum of two years' experience in office, academic, or program support Proficiency in Microsoft Office Suite and ability to learn other institutional systems and software
Preferred Qualifications:
Bachelor's degree in business, administrative support, or a related field Two years of experience in academic or event coordination settings Proficiency and experience in additional technology applications (office applications, enterprise resource planning systems, learning management systems, curriculum management systems, design applications).
Compensation:
The salary is commensurate with qualifications and experience, $24.51- $28.01. Includes a comprehensive benefits package.
