Job Description

Special Events Coordinator Waverly Community House Part-Time/ Exempt Reports To:
Executive Director 20-25 hours per week About the Waverly Community House The Waverly Community House is a nonprofit organization committed to serving and strengthening our community through programming, partnerships, and events that bring people together. We are looking for a creative, organized, and people-centered individual to join our team. Position Description The Special Events and Programs Coordinator is responsible for planning, coordinating, and executing events that support the mission and fundraising goals of Waverly Community House. This role works closely with staff, volunteers, and community partners to ensure events run smoothly and reflect the mission and values of our organization. Plan and manage all aspects of special events, including logistics, vendor coordination, setup and breakdown. Coordinate with internal staff, volunteers, and external vendors to ensure seamless event execution. Develop and manage event budgets, tracking expenses and ensuring cost-effectiveness. Maintain event calendars and timelines, communicating updates to relevant staff. Assist with event-related marketing and communications, including invitations, signage, and social media promotion. Track event outcomes and prepare post-event reports for leadership. Support the Development Director with fundraising events. Perform other duties as assigned by the Executive Director.
Qualifications:
Minimum two years of experience in event planning, hospitality, or a closely related field. Strong organizational skills and keen attention to detail, with the ability to anticipate needs and solve problems before they arise. Excellent written and verbal communication skills. Comfortable engaging with staff, volunteers, donors, and community partners. Availability to work evenings and weekends as events require. Proven ability to plan and execute events from concept to completion, managing logistics, timelines, and budgets. Experience with social media or basic event marketing is a plus. Strong teamwork skills with the ability to work effectively both independently and alongside a small team.
