Serves as the primary point of contact for Student Services, providing welcoming, student-centered support while managing daily operations, administrative tasks, and communications. Coordinates events, purchasing, and student organization support, while helping ensure efficient department operations and a positive campus experience.
Essential Duties and Responsibilities:
Serves as the first point of contact for the Student Services wing Maintains and displays a positive and helpful disposition and demeanor, creating a hospitable environment Promotes Student Affairs as a caring and "customer" friendly environment. Provides administrative support for the department by answering the phones and providing information as needed Provides accurate and timely day-to-day support in the handling of a variety of departmental projects and administrative tasks Serves as back-up administrative support for the Assistant Vice Provost for Student Services Supports the Assistant Vice Provost for Student Services with meal orders and various tasks for the Student Government Association Manages the online Study Room Reservation System Serves as the Purchaser for the department Submits expense reimbursement requests for clubs/orgs Helps coordinate and provide support for student activities and events Supports the department with the creation of monthly reports and maintenance of data Helps to organize and prepare for departmental meetings and events, as directed, by securing space, equipment, and handling orders Manages department inventory, supplies, and work orders Assists with the planning and execution of various KCU events (i.e., orientation, graduation, symposiums, meetings) Serves as liaison with university constituents for room scheduling Represents the University favorably and in accordance with established Core Values and expectations Performs other duties as assigned or directed to meet the goals and objectives of the organization
Qualifications:
High school diploma. One year of formal education or equivalent experience may substitute for education. Minimum two years of experience as a receptionist, secretary, or office assistant. One year of customer service experience. Must have excellent communication and interpersonal skills. Strong computer skills, working with word processing and spreadsheets is essential. Must be diplomatic at all times and exercise good judgment. Must have excellent organizational skills, be detail-oriented, an independent thinker, able to set priorities, and handle frequent interruptions, while accurately accomplishing tasks and meeting deadlines. Requires the ability to work in a busy environment and balance multiple tasks while performing assignments accurately. Excellent telephone etiquette is a must. Must be a team player and willing to help other departments.
Physical Requirements:
Physical dexterity sufficient to use hands, arms, and shoulders repetitively to operate a keyboard and other office equipment, use a telephone, access file cabinets and other items stored at various levels, including overhead Ability to speak and hear well enough to communicate clearly and understandably with sufficient volume to ensure an accurate exchange of information in normal conversational distance, over the telephone, and in a group setting Ability to continuously operate a personal computer for extended periods of time (4 or more hours) Mental acuity sufficient to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgments and decisions Equal Opportunity Employer KCU is committed to promoting an equal employment opportunity workplace.
