Job Summary:
The role serves as a key operational and systems support partner within Talent Acquisition and Human Resources, ensuring seamless execution of recruitment & HR processes and optimal use of technology platforms. This position acts as a subject matter expert in TA and HR processes and systems, facilitates communication between stakeholders, and enhances the candidate/employee experience. The role also contributes to process improvement initiatives, supports compliance and documentation standards, and coordinates logistics for candidate interviews and agency partnerships. With a strong focus on efficiency, collaboration, and continuous improvement, this position plays a critical role in enabling a high-performing Talent Acquisition & HR team.
Experience:
Minimum of 3 years of experience in Talent Acquisition, HR operations, or recruitment coordination. Bachelor's degree in Human Resources, Business Administration, or a related field. Equivalent or combination of education and work experience may be considered in lieu of a degree. Demonstrated proficiency with Applicant Tracking Systems (ATS) and HRIS platforms. Experience supporting cross-functional teams and managing recruitment logistics. Strong background in process improvement, documentation, and stakeholder communication. Strong Experience using Microsoft Excel and Outlook Familiar with Microsoft Teams, Webex and Zoom Ability to think on your feet and solve problems Ability to pivot along with changing priorities and stay organized Attention to detail, act as an auditor to ensure all data is accurate and correct. Ability to work in a fast-paced environment Ability to priorities work duties. For U.S. locations that require disclosure of compensation, the starting base pay for this role is between $28.38 and $37.59. per hour and may include cost of living adjustments. The actual base pay includes many factors and is subject to change and modification in the future. This position may also be eligible for other types of compensation and benefits. Monitor requisition approvals and escalate delays as needed. Talent Acquisition Operations & Coordination Support recruiting activities including scheduling interviews, coordinating candidate travel (when needed), and processing expense reimbursements. Conduct reference checks (when needed) and document results in the ATS. Track offer letter acceptances and ensure smooth handoff to HR Coordinators. Greet candidates and provide interview materials upon arrival. Optimize the candidate experience throughout the recruitment lifecycle. Post job openings internally and externally in alignment with guidelines. Coordinate agency intake meetings and maintain agency records (contacts, contracts, etc.). HR Support Responsible for the day-to-day transactional HR activities include posting jobs, on-boarding new employees (Journey/payroll process), I-9 process, employee referral, terminations, role/data changes and data governance. Supports HR programs including employment processing, open enrollment, etc. Advises supervisors, managers, and employees on consistent application of established policies and practices. Communicates policy changes, collects acknowledgements, and provides clarification as needed. Under supervision of HR Manager, coordinates and oversees global intern program. Administer compliance training for US. Maintains and organizes office operations and procedures such as fully utilizing, Sharepoint (or related systems), filing systems and other technologic solutions. Completes special projects and other duties as required. Assist with HR departmental projects or initiatives as needed. Stakeholder Communication & Coordination Facilitate information flow between Talent Acquisition, Hiring Managers, and HR Business Partners. Schedule intake meetings with recruiters, hiring managers, and business partners. Circulate internal communications about new job openings. Provide information to external agencies within established guidelines. Process Improvement & Documentation Actively participate in continuous improvement initiatives and special projects. Collaborate on the development and maintenance of Standard Operating Procedures. Lead third-party agency productivity reviews, including compliance, reporting, and analysis. Analyze applicant source reports and recommend alternative sourcing strategies. Work Environment The role is required to be full-time on-site working in a professional office environment
