  • Full-time Overview The Program Manager (Operations & Data) is responsible for the technical and logistical "engine" of the Club.
This role focuses on ensuring operational excellence across both sites through meticulous data management, resource allocation, and daily staff supervision. They serve as the primary owner of member tracking systems and grant-compliance data while executing the tactical elements of the organization's youth development strategy.
Responsibilities Data Management & Outcome Tracking System Ownership:
Oversee data entry and accuracy within MyClubHub, including daily attendance and member participation in relation to programming.
Grant Compliance:
Assist in compiling and organizing impact data for state and federal grants, specifically TEXSYN and AIMS, working in alignment with the Program Administrator and Youth Development Professionals (YDPs) assigned to these groups. Provide guidance and resources to those YDPs overseeing curriculum in those groups.
Evaluations:
Administer and track pre
  • and post-surveys for all programs to measure member outcomes.
Reporting:
Generate monthly data reports for Senior Program Manager and other leadership to identify attendance trends and program participation gaps.
Daily Operations & Logistics Site Management:
Oversee daily Club programming schedules in collaboration with the Senior Program Manager, including room rotations and activity transitions to ensure smooth operations.
Site Audits & Travel:
Travel frequently between Caldwell and Bryan locations to conduct walkthroughs and observations, ensuring all programming meets established standards.
Supply Chain:
Manage the full inventory lifecycle, including purchasing materials and ensuring program setups are completed across both sites.
Incident Oversight:
Co-manage the incident reporting process, ensuring all safety documentation is filed accurately and timely in conjunction with Youth Specialist and Senior Program Manager.
Safety Communication:
Ensure all parties that need to be communicated with regarding incidents are contacted within a timely manner.
Collaborative Supervision & Coaching Staff Oversight:
Provide direct co-supervision of program staff with Senior Program Manager, monitoring daily performance and conduct.
HR Administration:
Receive and approve staff Requests for Leave in alignment with Senior Program Manager and assist the Director of Operations in the onboarding of new program personnel.
Leadership Alignment:
Keep the Senior Program Manager up to speed on all staffing changes or personnel issues.
Behavioral Support:
Support staff in the consistent application of behavioral techniques and the use of Class Dojo for incentives.
On-the-Floor Coaching:
Conduct staff check-ins and provide real-time coaching on program facilitation techniques in alignment with Senior Program Manager.
Tactical Coordination & Partnerships Event Logistics:
Coordinate the planning and execution of field trips and guest presenter visits.
Communication:
Maintain daily contact with staff, parents, and community partners to resolve any issues or communicate important information.
Internal Collaboration:
Work closely with the Youth and Family Services Specialist to support the implementation and data collection for mental health initiatives, career readiness, and teen recruitment.
Senior Alignment:
Ensure the Senior Program Manager is informed of all external interactions and partnership touchpoints to maintain an organizational "Master View".
Programming Development:
Assist Senior Program Manager in further development of programs and services that club provides while creating new initiatives to serve a broader population of youth.
Requirements Professional Background & Experience Education:
A four-year degree in a related field (such as Education, Social Work, Nonprofit Management, or Business Administration) from an accredited college or university preferred equivalent professional experience.
Bilingual Proficiency:
Fluent in English and Spanish (speaking, reading, and writing) is strongly preferred to ensure equitable family advocacy.
Technical & Analytical Skills Data Management:
High proficiency in MyClubHub or similar Salesforce-based CRM platforms for attendance and member tracking.
Grant Compliance:
Ability to compile, organize, and interpret impact data for state and federal reporting, specifically for programs like TEXSYN and AIMS.
Outcome Measurement:
Skill in administering and analyzing pre

Financial Oversight:
Ability to control clubhouse program and activity expenditures within an approved budget.
Core Competencies & Soft Skills Collaborative Leadership:
Demonstrated ability to "co-supervise" and work in a "dotted-line" reporting structure with the Senior Program Manager.
Effective Communication:
Strong verbal and written communication skills for daily interaction with staff, parents, and community partners.
Strategic Coordination:
Ability to maintain a "Master View" of organizational touchpoints while executing tactical event logistics.
Conflict Resolution & Behavior Management:
Expert-level knowledge of positive youth development practices and behavioral intervention techniques like Class Dojo.
Sector Experience:
2-4 years of work experience in a Boys & Girls Club or similar youth development organization.
Leadership History:
Proven experience in planning and supervising activities based on the developmental needs of young people.
Operational Oversight:
Previous experience managing facility safety, inventory control, and multi-site logistics.
