Project Manager - Advanced (Technology Procurement, Software Distribution, and Contract Process Consultant)

Interview Process:
1 Round - Virtual Key Responsibilities' Manage and monitor technology procurement, software distribution, fulfillment, service request, incident, enhancement, and contract-related workflow queues. Review procurement requests for completeness and compliance with documented criteria and procedures. Route and track assessments involving accessibility, security, AI, compliance, and procurement reviews. Coordinate tasks among Service Management, Business Office, Enterprise Applications, contract managers, suppliers, and other stakeholders. Assist customers by identifying missing information, providing guidance on requirements, timelines, and next steps. Support software distribution processes for faculty, staff, students, and departments. Coordinate software licensing, contract establishment, renewals, pricing, billing, budgeting, and procurement activities. Participate in supplier and stakeholder discussions regarding software licensing, contract requirements, fulfillment processes, and procurement reviews. Maintain workflow records, documentation, training materials, FAQs, knowledge articles, and customer communications. Track request status, escalations, renewals, aging items, blockers, and handoffs. Prepare reports, trend analysis, ROI metrics, leadership summaries, and process improvement recommendations. Support knowledge transfer and training activities for permanent staff and newly hired resources. Drive continual service improvement initiatives through stakeholder and customer feedback. Required Skills 2+ years of experience managing queues, cases, tickets, workflow tools, intake processes, software fulfillment, procurement, contract administration, or service operations. 2+ years of experience interpreting policies, procedures, documented criteria, and process guidance. 2+ years of experience maintaining process documentation, training materials, FAQs, knowledge articles, and customer guidance. 2+ years of experience with procurement, contracts, software distribution, software licensing, service management, compliance, or administrative workflows. 2+ years of experience using Microsoft Office, email/calendar applications, workflow systems, ticketing systems, or service management tools. Strong customer service, communication, organizational, and follow-up skills. Ability to independently manage multiple requests, deadlines, renewals, escalations, blockers, and handoffs in a dynamic environment. Preferred Skills Experience in Higher Education, Public Sector, or University Technology Operations. Experience with ServiceNow or similar ITSM platforms. Experience with Software Licensing, Software Asset Management, Supplier Management, Procurement Support, or Contract Renewals. Experience with Technology Procurement, Vendor Intake, Software Purchasing, and Cross-Functional Review Processes. Familiarity with Accessibility, Security, Privacy, AI, Legal, Procurement, or review processes. Experience with budgeting, billing, cost modeling, product-line reporting, ROI analysis, and leadership reporting. Experience supporting continuous process improvement initiatives. Ability to coordinate stakeholders across business, service management, supplier, contract, application, review, and customer teams. Education Bachelor's degree or equivalent combination of education and relevant experience in Business Operations, Procurement, Service Management, Project Coordination, Customer Service, Contract Coordination, Administrative Workflow Management, or related fields.
Preferred:
Degree in Business Administration, Information Systems, Public Administration, Communications, Project Management, or related discipline. Preferred certifications include ITIL Foundation, CAPM, PMP, Software Asset Management, or related process/project management training.
