Admin Services Coordinator - Safety & Security 4.1 4.1 out of 5 stars Iowa City, IA Full-time The University of Iowa 1,308 reviews Full-time The University of Iowa Health Care Department of Safety and Security is seeking an Administrative Services Coordinator to perform and coordinate administrative work, such as examining and evaluating data, requiring a knowledge of both assigned and related work areas. We are looking for a person to support our administrative office, including human resources and financial functions. The successful candidate must be highly organized, have strong communication skills, be a team player, and be willing to go the extra mile to ensure all functions are completed in a timely and professional manner. This person is required to manage multiple priorities and have strong problem-solving skills.
Duties and Responsibilities Operational Support:
Support the daily operations of the Safety and Security office, including coordination of specialized events and activities, monitoring appropriateness of expenditures, and changing policies and procedures. Make decisions and exercise a moderate level of autonomy while typically performing administrative support/management responsibilities for the Safety and Security Director and administrative staff, including managing schedules, correspondence, and travel arrangements. Assist in the coordination/preparation of strategic plans in support of the Director and Safety Manager by establishing guidelines, reminding contributors, proofreading, and editing. Maintains effective working relationships with internal staff and our customers.
Information Management/Communications Management:
Serves as a contact for Safety and Security, responds to inquiries with keys and door access. Serves as liaison for inquiries regarding interpretation of policies and procedures. Prepares and administers correspondence and maintains records (meeting minutes, reports, etc.) in an organized manner for easy retrieval to document Program development and events. Compile data and reports for department or institutional meetings. Maintain records/policies and procedures on our shared drive and intranet. Assists in the coordination of reports, as well as other documents Utilize Canva and MS Office Suite programs such as Outlook, Word, PowerPoint, and Excel for data and communications.
Financial Responsibility:
Initiate purchasing requests for supplies and equipment. Perform monthly P-Card reconciliation Assists in monitoring accounts/expenditures and reviewing financial statements. Inventory of non-capitalized and capitalized equipment.
Strategic Planning:
Assist in the coordination of strategic plans in support of department leadership.

May provide functional and/or administrative supervision of staff.
