Job Summary:
The Database and Analytics Specialist ensures data quality, reporting, and analytical insight across JFSSV's programs, with a primary focus on Cal-AIM. Working closely with program staff and leadership, this role maintains data integrity in Bonterra Apricot and other platforms, reviews records and workflows to identify data quality issues and process improvements and produces clear reporting that supports decision-making across Cal-AIM and the broader organization.
Key Responsibilities:
    Data Quality, Systems, and Workflow Improvement:
    Review and maintain data quality across Apricot and other platforms; identify and resolve missing, duplicate, or inconsistent records; navigate cross-system data flows to support mapping, field comparisons, and data requests; and recommend workflow and process improvements that reduce redundant entry and strengthen reporting accuracy.
      Reporting, Analytics, and Insight Development:
      Create standard and ad hoc reports using Apricot, Excel, Power BI, or similar platforms; analyze program and operational data to identify trends, risks, and opportunities.
        Data Visualization and Communication :
        Transform data into clear dashboards, charts, and visual reports tailored to varied audiences including program staff, leadership, and board members; communicate findings in plain language for non-technical stakeholders.
          Cal-AIM and Case Management Data Support:
          Ensure Cal-AIM ECM and Community Supports records in Apricot are complete and accurate; review client, service, outcome, authorization, and documentation data for consistency with program standards.
            Documentation, Process Improvement, and Training:
            Maintain data dictionaries, SOPs, field definitions, and data quality guidelines; train staff on data entry standards, reports, and dashboards to support consistent, high-quality documentation across the organization.

            Qualifications:
            Education:
            • Bachelor's degree in data analytics, information systems, or a related field; equivalent experience may be considered.
            Experience:
            • Experience working with data from case management systems, nonprofit databases, spreadsheets, or similar platforms.
            • Experience creating reports, dashboards, charts, visualizations, or data summaries using Excel, Power BI, Tableau, Looker Studio, or similar platforms.
            • Experience with Bonterra Apricot or a comparable case management database.
            • Experience in nonprofit, human services, health care, social services, housing, aging services, refugee services, or community-based organization.
            • Experience with data quality improvement, record reconciliation, compliance reporting, or audit preparation in a nonprofit or human services setting.
            • Experience with Power Query, Power BI, Tableau, Looker Studio, SQL, data dictionaries, report specifications, cleanup logs, field maps, SOPs, or data entry guides.
            • Familiarity with PII/PHI, HIPAA-related confidentiality practices, role-based access, and secure handling of sensitive client and organizational data.
            • Familiarity with Cal-AIM, Enhanced Care Management (ECM), or Community Supports programs.
            Skills & Competencies:
            • Strong ability to review, clean, validate, reconcile, organize, export, transform, and prepare data from multiple sources for reporting and analysis.
            • Strong Excel skills, including filters, formulas, pivot tables, lookups, conditional formatting, data validation, sorting, deduplication, and data cleanup.
            • Ability to analyze data, identify trends, interpret findings, and communicate insights clearly to non-technical audiences.
            • Ability to navigate multiple systems, manage competing priorities, and collaborate effectively across program, finance, development, and operations teams.
            • Strong attention to detail, commitment to data accuracy, and demonstrated ability to identify patterns in data quality issues and recommend practical improvements.

            Salary and Benefits:
            Salary Range:
            $75,000 - $85,000 per year. This position is full-time, exempt,37.5 hours/week. Salary is commensurate with the qualifications and experience of the selected candidate. Benefits include medical, dental and vision care; company contributions to pension plan; optional 403b plan; generous paid time off; supportive colleagues; and a positive work environment in a spacious office.
