Full time General Information/Job Summary Under moderate supervision will ensure that quality documentation files consisting of technical data, engineering drawings, technical specifications, inspection reports, forms and other quality related data is appropriately maintained. Will assure that documentation is well-organized, complete, retrievable and up to date. Will perform retrieval, collation, measurement and reporting of quality data. Responsibilities/Competencies Assists in the creation/revision/updating of quality forms and tools as required. Maintains the quality filesystems, document index and online data repositories in an organized consistent fashion. Assures quality documentation and data retention. Researches and retrieves data as required to support Quality objectives. Audits project quality files for conformance to the corporate quality program. Compiles organizes and retrieves data to support quality metrics and reporting. Modifies, updates and troubleshoots excel spreadsheets. Creates new Quality project folders, assigns permissions and archives them as projects reach completion. Compiles and maintains documentation reports through excel spreadsheets with minimal supervision. Provides advice and support to meet document management needs Perform periodic audits of document controls project files. Interact with quality, operations and engineering personnel. Performs a variety of general filing duties of varying difficulty. Assists in the resolution and documentation of quality incidents. Requirements 2-4 years of administrative / filing / document control Computer literate and competent in the use of MS Word, Excel, PowerPoint, Outlook and Bluebeam Revu. Advanced excel skills to include the use of formulas, lookups and logic. Familiar with the management of Microsoft Onedrive (permissions, document retrieval and restoration, syncing) Business English, including vocabulary, correct grammatical usage, spelling, and punctuation. Modern office practices, procedures, typing and filing methods. Knowledge in the operation of modern office machines; photocopying, scanning and computer work station. Solid communication skills, professional attitude and ability to work well with others. Detail oriented and organized. Work tactfully, effectively and courteously with multiple individuals. Maintain efficiency and productivity with frequent interruption. Follow written and oral directions. Self-directed individual with effective time management and prioritization skills. Learn, interpret and apply pertinent quality procedures, precedents and policies.
