DESCRIPTION
Purpose Statement The job of Migrant Data Specialist is done for the purpose/s of providing data and informational support to the migrant department. Maintaining complete and accurate records; and providing information and/or direction as requested are related expectations of the position. This job reports to the District Migrant Coordinator Essential Functions
  • Answers questions from internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing general information and/or routing inquiries related to migrant data.
  • Collects data (e.g. migrant students and families, processes COE data) for the purpose of preparing reports and/or processing forms and providing assistance for programmatic decision-making.
  • Collaborates with internal and external personnel (e.g. school staff, parents, students, principal, counselors, nurses, etc.) for the purpose of implementing and/or maintaining services and programs for migrant students and families.
  • Coordinates and assists with assigned migrant projects and/or activities (e.g. presentations, parent nights, volunteers, etc.) for the purpose of completing projects and/or activities and/or directing services in a timely manner for migrant families.
  • Maintains a variety of confidential and non-confidential manual and electronic lists and records (e.g. daily log of activities, program participation, progress, referrals, etc.) for the purpose of providing required information and/or documentation for migrant families.
  • Attends department meetings/trainings facilitated by district or Arizona Department of Education, migrant workshiops, parent meetings, for the purpose of conveying and/or gathering information required to perform mandated state and federal program functions.
  • Responds to inquiries from a variety of internal and external sources for the purpose of providing information and/or direction as may be required for the migrant program.
  • Maintains manual and electronic documents files and records (e.g. letters, forms, reports, COEs, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements as it relates to migrant services.
  • Maintains migrant inventory of supplies and materials (e.g. forms, related office equipment/supplies, etc.) for the purpose of ensuring items' availability as it relates to migrant data.
  • Processes documents and materials (e.g. migrant COE data, migrant grants) for the purpose of providing required information. Other Functions
  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Job Requirements:
Minimum Qualifications Skills, Knowledge and Abilities SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including using pertinent software applications; preparing and maintaining accurate records.; classifying data and/or information.
KNOWLEDGE
is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: concepts of grammar and punctuation; common office machines; and office methods and practices.; keyboarding; recordkeeping and record retention practices; three (3) or more years of progressively responsible recordkeeping. ABILITY is required to schedule activities and/or meetings; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined and similar processes; and operate equipment using standardized methods. Ability is also required to work with a diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is moderate. Specific ability based competencies required to satisfactorily perform the functions of the job include: communicating with diverse groups; working with frequent interruptions; working as part of a team; maintaining confidentiality; being attentive to detail; meeting deadlines and schedules; adapting to changing work priorities; analyzing issues and determining appropriate course of action; displaying tact and courtesy; and working with detailed information/data. Responsibility Responsibilities include: working under limited supervision using standardized practices and/or methods; leading, guiding, and/or coordinating others; operating within a defined budget. utilization of some resources from other work units is often required to perform the job's functions. There is a continual opportunity to have some impact on the organization's services. Working Environment The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 75% sitting, 10% walking, and 15% standing. The job is performed in a generally hazard free environment. Experience Job related experience with increasing levels of responsibility is desired. Education High school diploma or equivalent.
