Summary We are looking for a versatile individual to join our team as an Operations Data Specialist. This is a multifaceted role that requires flexibility, adaptability, and a willingness to "jump in" where help is needed. The ideal candidate will be comfortable working independently on diverse projects while collaborating with multiple departments. Responsibilities Issue purchase orders to suppliers based on business needs (work closely with sales, product development and Director of Operations) Review product guides for accuracy before sending to suppliers Communicate with suppliers in China on status of production Arrange shipment or product from China with freight forwarders via LCL/FCL shipments (quote shipments based on production completion timing and most cost-effective use of space) Receive incoming purchase orders into inventory Maintain and update complex Microsoft Excel and Google Sheets spreadsheets to track production, shipments, sales, and inventory data Update production/shipment schedule for visibility to company/team Assist customer service when needed with routing and logistics for major account orders Assist warehouse team with inventory monitoring/maintenance Work with Director of Operations in managing QuickBooks inventory accuracy Review sales data/reporting with sales team and President Review sales data for commission reporting and submit to AP for payment Enter bi-weekly Amazon settlements Review incoming freight and supplier invoices before submitting to AP for payment Match landed costs to bills
Required Skills Data Entry & Management:
High proficiency in inputting, organizing, and managing data across large spreadsheets using
Microsoft Excel and Google Sheets Data Analysis:
Strong analytical skills to interpret and evaluate data from various spreadsheets; ability to draw actionable insights and communicate them clearly across departments
Project Management:
Ability to independently manage and prioritize multiple tasks and projects, while ensuring deadlines are met
Supply Chain Knowledge:
Experience in managing purchase orders, supplier relationships, and coordinating shipments, especially from international suppliers (e.g., China)
Vendor Relations:
Strong communication skills for negotiating with and managing supplier relationships, particularly with overseas suppliers
Logistics Coordination:
Familiarity with coordinating freight shipments, including LCL/FCL, ensuring cost-effective and timely delivery
Inventory Management:
Proficient in monitoring and maintaining inventory levels, ensuring the accuracy of stock and resolving discrepancies
QuickBooks Proficiency:
Experience with QuickBooks for inventory tracking, managing financial transactions, and reporting Attention to
Detail:
Ensuring product guides, invoices, and financial data are accurate before submission and approval
Cross-Functional Communication:
Ability to clearly present data findings and collaborate with sales, operations, customer service, and executive teams Proficient in Microsoft Office (Excel, Outlook, Word), Google Suite Preferred Skills Experience with
International Trade:
Knowledge of importing/exporting, freight forwarding, and dealing with international customs or regulatory requirements
Amazon Operations:
Familiarity with Amazon's settlement system and bi-weekly settlements
Financial Acumen:
Understanding of cost structures, landed costs, and the ability to match invoices and bills accurately
Advanced Excel/Sheets Skills:
Familiarity with formulas, pivot tables, VLOOKUPs, and other tools to efficiently manage and analyze complex datasets
Problem-Solving:
Ability to identify and resolve issues related to supply chain, inventory discrepancies, and operational bottlenecks.
Leadership Ability:
Comfortable taking ownership of projects and supporting the team where necessary, even in high-pressure situations. This is a full-time, hourly (non-exempt) position. Working schedule is 40 hours per week Mon-Fri, 7:30 AM - 4:00 PM with occasional flexibility.
