Job Description:
Under the supervision of the Associate Director of Enrollment Systems, the Assistant Director of Enrollment Systems executes and coordinates the preparation, data entry, verification, and editing of confidential data within the enrollment systems. Working in conjunction with the Associate Director, this position interacts with other Enrollment Management team members to resolve problems and inquiries, and to establish and maintain efficient data and information flow. This position operates as a source of information on specialized data files and records for both internal and external purposes. Resolves problems and inconsistencies with data, performs data analysis, and prepares and generates various reports for the division. Essential Duties Checks, verifies, and edits data coding and mapping to ensure compatibility with data entry system and procedural requirements; troubleshoots routine data coding issues. Provides oversight of the operational and tactical enrollment systems and data analytics leveraged by the division. Works with EM functions as necessary to facilitate and expedite the efficient flow of documentation, and to resolve routine administrative burdens Inputs and retrieves information in prescribed format, utilizing knowledge of various computer systems. Works with Slate team and other departments and divisions to integrate the CRM with other application based or university held systems (OnBase, CAS, SIS, etc..) Creates, maintains, and purges specified data files and logs as required; makes individual and/or mass corrections, modifications, and/or updates to data in files, as appropriate. Supports the reporting needs of the division to ensure access to critical and accurate data. Extracts and releases information according to specified criteria and in compliance with established policies, procedures and/or regulations; answers questions on specific data as requested, and prepares reports, as specified. Supports the implementation and use of key systems managed within EM. Uses strong analytical, problem-solving skills to develop and present solutions to complex multi-faceted problems. Ensures strict confidentiality of student records. Secondary Responsibilities Performs other duties as assigned Identifies business processes that could be automated through enhancements to current systems as well as developing those enhancements; this also includes identifying aspects of current processes that could be made more efficient and making recommendations on how to best implement the changes Analyzes and documents operational requirements for the CRM system Maintains system security, user permissions and access Knowledge, Skills and Abilities Required Ability to prioritize, schedule and execute work assignments. Knowledge of computer data entry systems, protocols and procedures. Ability to communicate effectively, both orally and in writing. Skill in the use of personal computers and related software applications. Ability to understand and follow specific instructions and procedures. Knowledge of relevant policies, procedures, and regulations pertaining to the release of confidential information. Ability to resolve data input, storage and/or retrieval problems and to design solutions and modifications. Ability to maintain confidentiality of records and information. Word processing and/or data entry skills. Working knowledge of SQL Knowledge of efficient document flow procedures. Duties 45% Execute routine data and system processes, including creation, updates, and purging. 15% Provide quality assurance of imported data, working with the associate director of enrollment systems 10% Support initiatives for data integrity and standards. 10% Support training and troubleshooting enrollment systems for end users. 10% Interdepartmental relations 5% Help develop reports and dashboards, working with associate director of enrollment systems 5% Other duties as assigned
Requirements:
Required Qualifications Associate or Bachelor's degree in Data Analytics, Statistics, Computer Science, Informatics, or a related field Two or more years of related experience Ability to operate with a high level of autonomy, frequently exercising independent judgement to perform assigned duties and solve problems, but awareness of when other team members need to be consulted Excellent interpersonal skills with the ability to train team members Strong attention to detail and the ability to manage multiple projects and meet tight deadlines Ability to maintain confidentiality Demonstrated experience with Slate CRM and Colleague SIS Preferred Qualifications Bachelor's degree Experience working in a higher education setting Physical Requirements and/or Unusual Work Hours This position may require periodic scheduled and unplanned hours on evenings and weekends Must be able to make decisions and respond to challenges quickly and with ease.
