Full Job Description Advancement Data Specialist Position Overview:
The Advancement Data Specialist provides essential operational support for Advancement by ensuring the accuracy, integrity, and timely administration of gift and constituent data. This role is responsible for maintaining clean, reliable, and up-to-date records across Advancement systems, supporting reporting and basic automation processes, and preparing prospect profiles to inform fundraising activities and institutional decision-making. This role requires the ability to exercise independent judgment in applying established gift administration procedures and data standards, ensuring data integrity, consistency, and reliability across systems. Essential Duties:
Gift & Pledge Administration:
Serve as the primary point of responsibility for gift and pledge administration, ensuring accurate and timely entry, coding, recognition, and reconciliation in accordance with institutional policies and reporting standards; applying sound judgment to resolve routine questions. Oversee Day-to-Day Advancement CRM Operations:
Manage the daily functioning of the Advancement CRM, ensuring timely processing of gifts, updates to constituent records, and consistent application of data standards to support accurate reporting and operational efficiency. Maintain Constituent Records and Lifecycle Updates:
Create, update, and manage constituent records, including demographic updates, relationship changes, and student-to-alumni transitions to ensure data integrity across systems. Ensure Data Integrity and Quality Control:
Perform ongoing data validation, cleanup, and maintenance activities, applying established data standards. (e.g., NCOA updates, duplicate resolution, and "update your information" initiatives). Support Pipeline Development:
Prepare prospect profiles, including biographical, engagement, and giving data for major and principal gift officers utilizing available platforms. Support Data Operations and Reporting Preparation:
Prepare and deliver data extracts, queries, and reports to support Advancement operations and reporting needs, ensuring outputs are accurate, well-structured, and aligned with defined requirements. Supervise Student Employees:
Provide day-to-day oversight, training, and task management for student employees to ensure biographical updates and data entry tasks are completed accurately and efficiently. Other duties as assigned. Education & Experience:
Required:
Advanced proficiency in Excel, including data analysis, formulas, filtering, and reporting. Preferred:
1-3 years of experience in database maintenance, data entry, or CRM administration. Preferred:
Basic query-writing experience using SQL or PostgreSQL. Bachelor's Degree:
