We are seeking a meticulous and efficient Building Information Specialist - Elementary to manage and maintain student records, support data processing, and assist in the overall administrative functions of our elementary school site. Job Summary The Building Information Specialist - Elementary acts as a key data processing specialist at the assigned work site, serving as a liaison to the District Information Technology Department. This role involves registering students, maintaining computerized records, ensuring data accuracy, and providing secretarial support to the site administrative team.
Key Responsibilities Data Management:
Maintain and update student academic and attendance records, ensuring data accuracy, particularly for transportation and special education needs.
Student Enrollment:
Assist with the management of student enrollment processes, including registration, schedule preparation, and bussing coordination.
Kindergarten Registration:
Coordinate yearly site kindergarten registration, including advertising, cross-referencing preschool students, inputting data, and creating permanent files.
Attendance Processing:
Handle daily attendance records, verify absences, and maintain up-to-date records.
Transcript Evaluation:
Evaluate incoming student transcripts to ensure appropriate grade-level placement.
Secretarial Support:
Provide preliminary secretarial support for the District's summer school program, including collecting applications and entering student enrollment data.
Financial Management:
Maintain student activity accounts to ensure accuracy in accordance with district policy.
Report Preparation:
Prepare standardized documents and reports, such as report cards, class schedules, and bulletins, to communicate information effectively.
Compliance:
Ensure accurate processing of documents and materials, including transcripts and resident affidavit renewals, in compliance with administrative guidelines.
Inquiry Response:
Respond to questions from staff, parents, students, and the public to provide information and direction.
Administrative Support:
Support the site administrative team with various functions, including Notary services, office operations, and building safety.
Communication:
Provide support to teachers, parents, and students to ensure effective communication and completion of administrative tasks.
Minimum Qualifications Education:
High school diploma or equivalent.
Experience:
Relevant job-related experience is required.
Skills:
Proficient in operating standard office equipment and software applications; strong record-keeping and data analysis skills.
Knowledge:
Understanding of student enrollment and transfer processes; familiarity with relevant codes, regulations, and school safety practices.
Abilities:
Ability to manage multiple tasks, work with a diverse group of individuals, handle frequent interruptions, and adapt to changing priorities.
