Enrollment & Data Specialist Reports to:
Director of Enrollment Position Summary:
The Enrollment & Data Specialist plays a central role in managing the school's enrollment operations and maintaining accurate, up-to-date student data across multiple platforms. This position is responsible for overseeing the full enrollment and re-enrollment cycle from application through registration while also ensuring data integrity, tracking key metrics, and generating reports that inform school planning and compliance. The Specialist supports both prospective and current families, coordinates outreach and documentation, and provides timely, effective communication. The ideal candidate is highly organized, proactive, data and technical expertise, and deeply committed to delivering exceptional service and operational excellence. Key Responsibilities Enrollment & Admissions Support  Respond to phone and email inquiries in a timely and courteous manner.  Assist families with completing enrollment forms and navigating the registration process, including walk-in support.  Coordinate and support school tours, open houses, and recruitment events.  Track, verify, and manage enrollment, waitlist, and withdrawal data in PowerSchool and online platforms.  Facilitate district registration and re-enrollment processes.  Collect and track required documents (e.g., proof of residency, immunizations, IEPs).  Request, process, and file student records and transfer documentation.  Assist in scheduling home visits, as needed. Data Management  Ensure accurate and timely entry and maintenance of student data in all relevant systems (PowerSchool, Excel, other online platforms).  Maintain up-to-date student records, including changes in demographic and academic information.  Assist with projections, enrollment audits, and state reporting as needed.  Monitor data integrity and assist in data clean-up tasks to ensure compliance and accuracy.  Ensure accurate and timely enrollment data  Generate and maintain enrollment reports, projections, and rosters. Family Engagement & Communication  Serve as the first point of contact for families, providing a welcoming and informative experience.  Prepare and distribute clear, timely communications to families.  Provide updates and information on enrollment status, required documents, and next steps.  Build strong relationships with families through consistent and respectful communication.  Support all enrollment events and family outreach endeavors.  Gather and process feedback from families to improve the enrollment experience. Administrative & Office Management  Manage day-to-day operations of the Enrollment Office.  Maintain enrollment calendars and follow-up schedules for outreach and documentation.  Prepare materials for mailings, events, and presentations.  Assist in organizing and managing physical and digital student files.  Support school-wide operations during high-volume times such as back-to-school Qualifications  Bachelor's degree or equivalent work experience preferred.  Minimum 2 years of experience in school operations, enrollment, admissions, or student data management.  Strong written and verbal communication skills.  Ability to manage multiple priorities and work well under pressure.  Exceptional attention to detail, organization, and follow-through.  Demonstrated ability to build relationships with diverse families and colleagues.  Proficiency with Microsoft Excel, Google Workspace, and student information systems (PowerSchool strongly preferred).  Commitment to maintaining confidentiality and data privacy in compliance with FERPA and internal policies.

From $26.73 per hour
