Data Manager Summary :
The Data Specialist is responsible for the aggregation of client and CPT data and outcome measures related to the Center for Child Protection.
Minimum Qualifications:
Bachelor's degree or a minimum of four years of relevant professional experience Intermediate proficiency in Microsoft Excel At least two years of experience creating custom reports within a case management system Experience with Jotform or other HIPAA-compliant form creation software Experience with Adobe Creative Suite preferred High level of accuracy in data entry with exceptional attention to detail Ability to design and format forms, surveys, and guides in a clear and visually appealing manner Ability to train staff and provide troubleshooting support Demonstrate flexibility and responsiveness in a fast-paced, changing environment Ability to work effectively with diverse populations and interdisciplinary teams, including in high-stress situations Strong relationship-building skills and ability to establish professional rapport Familiarity with or ability to navigate complex criminal justice systems Strong problem-solving skills with the ability to work independently Ability to analyze and synthesize complex information into clear, concise summaries Key Responsibilities Case Management System Administration Serve as the primary administrator for all client case management systems Create and maintain client records, ensuring accurate and timely data entry across all service areas Monitor and maintain data integrity by identifying and correcting errors or inconsistencies Troubleshoot system issues and coordinate with technical support to resolve problems Reporting & Data Management Develop and generate custom reports to support organizational data tracking and outcome measurement Compile and enter results from client surveys and clinical assessments Complete internal and external reports, including contributing to monthly management reports Support the Data & Evaluation team in improving data collection processes and leveraging data to inform service delivery Training & Staff Support Train employees, interns, and volunteers on case management systems and provide ongoing support Develop, update, and maintain training materials, user guides, and data definitions Provide ongoing communication and technical assistance to staff to strengthen data collection practices Foster a culture of data-driven decision-making across the organization Forms & Client Documentation Create and update client intake forms and related documentation Manage and distribute client feedback surveys, including electronic delivery and tracking Program & Operational Support Review and process DFPS Statewide Intake notifications, entering relevant cases into the database and identifying those that meet Child Protection Team criteria Assist with record requests, including subpoenas and court orders, in collaboration with the Custodian of Records Support donor database data entry and other administrative tasks as assigned Organizational Engagement Maintain a strong understanding of the organization's mission, core values, and the children's advocacy model Provide program support for forensic, therapy, and medical services as needed Participate in staff meetings and contribute to team collaboration Perform other duties as assigned
