S. independent schools, building bridges of understanding and fostering global citizenship. The Scholar Recruitment and Database Coordinator works closely with the Director of Scholar Recruitment and Marketing to support the identification, recruitment, and enrollment of exceptional international Scholars, bringing a proactive, detail-oriented, and service-oriented approach to engaging candidates and families. This role plays a key part in ensuring a thoughtful, responsive, and well-coordinated admissions process, guiding candidates from initial inquiry through enrollment. The Coordinator supports clear communication, strong organization, and effective use of ASSIST's Finalsite database to facilitate applicant tracking and informed decision-making. This hybrid position combines hands-on engagement in scholar recruitment and admissions with stewardship of the Finalsite database as a tool to support strong recruitment outcomes. Working in close partnership with the Director of Scholar Recruitment and Country Coordinators, the Coordinator manages applicant workflows and communications to ensure a seamless and mission-aligned experience for Scholars and their families. Scholar Recruitment and Admissions Support (Supporting the Director of Scholar Recruitment and Country Coordinators)
- Support the full lifecycle of scholar recruitment, helping guide candidates from initial inquiry through enrollment and school placement with a high level of responsiveness and care.
- Develop, schedule, and refine communications that guide applicants through each stage of the admissions process - converting inquiries into applications and encouraging candidates to complete all required materials.
- Ensure all applicant files are complete, accurate, and fully submitted, with all required materials, in advance of school placement.
- Serve as the primary point of contact for candidates and families in regions without an in-country coordinator, manage these applicants from inquiry through enrollment, and provide additional support to families globally as needed in collaboration with Country Coordinators.
- Build, update, and maintain admissions forms, checklists, recommendation forms, and automated communications in the CRM.
- Generate reports to support recruitment strategy, candidate review, and school placement.
- Support virtual and in-person recruitment activities by preparing applicant data, communications lists, and follow-up workflows.
- Schedule virtual interviews for finalists not being interviewed in-person.
- Provide excellent customer-service support to applicants and families navigating the application and enrollment process.
- Support the Director of School Relations with the school placement process for newly enrolled Scholars. Finalsite CRM Administration
- Serve as ASSIST's primary manager of the Finalsite database, ensuring it effectively supports applicant tracking, admissions workflows, and communication with candidates and families.
- Ensure accurate and consistent data across applicant, Scholar, and family records.
- Develop and maintain reports and tools that support recruitment strategy, applicant review, and enrollment decisions.
- Partner with Country Coordinators to support consistent use of the Finalsite database, helping ensure timely applicant progress and strong recruitment outcomes. Desired qualities and qualifications
- 2-3 years of experience in admissions, recruitment operations, database management, or related roles—preferably in a nonprofit or educational organization.
- Direct experience with Finalsite Enrollment/Finalsite CRM strongly preferred.
- Demonstrated ability to effectively use and improve database systems to support admissions workflows and recruitment outcomes.
- Interest in emerging AI tools, with the ability to apply them thoughtfully to enhance efficiency, streamline workflows, and support recruitment efforts while maintaining a highly personalized experience for Scholars and families.
- Strong analytical skills and exceptional attention to detail; commitment to data accuracy and process consistency.
- Comfort working in a small, collaborative environment where responsibilities span multiple functional areas.
- Proactive problem-solver with strong organizational skills and a customer-service mindset.
Pay:
$23.00 - $30.00 per hour
