Provides operational and strategic support for donor stewardship, prospect research, and alumni engagement for the Foundation. Reports directly to the Executive Director of the COM Foundation and Institutional Advancement. Collaborates with the Events and Fundraising Planner, Development Coordinator, and Executive Administrative Assistant to ensure timely donor acknowledgment, meaningful engagement, and effective fundraising support. Regular Minimum Education/Training/Experience Associate degree in a related field or a minimum of sixty-five (65) college credits hours. Two years of database management experience including data query, reporting, and analysis. Two years of related fundraising support services experience. Preferred Education/Training/Experience A bachelor's degree from an accredited college or university. One to 3 + years of experience in Raiser's Edge or similar donor CRM. Experience working in higher education, optimally in higher education Minimum Knowledge & Skills- Data entry, data accuracy, and data management.
- Ability to generate, interpret, and distribute reconciliation and analytical reports.
- Ability to multi-task, meet deadlines, and work collaboratively.
- Ability to work with confidential information with discretion.
- Ability to evaluate complex problems and complicated challenges to provide solutions that will achieve broad objectives. Experience in taking initiative to solve issues.
- Proficiency with Microsoft Office Suite and ability to navigate through computer database systems and software.
- Have strong organizational skills with strong attention to detail.
- Have excellent customer services skills.
- Have ability work outside normal business hours. Preferred Knowledge & Skills
- Experience in non-profit advancement, donor relations, financial reporting.
- Skilled in collaborating with CPAs and tax professionals to manage audits and ensure compliance.
- Proficient in task automation and report generation using Blackbaud's Raiser's Edge, and Financial Edge
- Experience working in higher education with a general knowledge of college programs, requirements, policies, and procedures.
- Strong interpersonal skills with persistence and follow-through when working with diverse groups, including students, faculty, staff, and community members.
- Advanced computer literacy, with strong preference for experience in Financial Edge, Raiser's Edge, or other relational donor databases. Licensing/Certification Requirements N/A Job Duties Data Entry and Stewardship Support
- Enter, audit, and maintain all data in the Foundation's database systems, ensuring accuracy, completeness, and adherence to best practices in gift processing and donor record management.
- Conduct routine data entry, data imports, data cleanup, and system audits to maintain high-quality donor and prospect data.
- Maintain demographic, biographical, giving history, and relationship records for all donors, prospects, and constituents. Gift Processing, Reconciliation, and Reporting
- Accurately and efficiently enter all gifts into the database and generate acknowledgment letters within established timelines.
- Perform daily, weekly, and monthly reconciliation of donor and gift records with Financial Edge and accounting records; produce reconciliation reports as required.
- Develop, generate, and distribute a wide range of donor, fundraising, financial, and reconciliation reports, including bi-weekly and monthly reports for the Executive Director.
- Recommend and help implement improved procedures for receiving, tracking, and allocating donated funds to ensure compliance and proper documentation.
- Perform data queries, reporting, and analysis to strategically advance the fundraising objectives of the department. Prospect Research and Donor Relations
- Conduct proactive and reactive prospect research using subscription databases and free information sources.
- Develop detailed prospect profiles and collaborate with fundraising officers to determine the appropriate ask amount and cultivation strategies.
- Work with Foundation staff to refine and expand the Foundation's prospect database. Data Analysis and Foundation Support
- Prepare analytical reports on donor behavior, giving trends, and prospect activity using Financial Edge, Raiser's Edge, and other data tools.
- Create briefing sheets for college events and external meetings.
- Assist with preparation of materials for Foundation Board meetings, bookkeeper, and external auditor.
- Support stewardship activities and donor relations in collaboration with the Executive Director and fundraising officers.
- Performs other duties as assigned by the Executive Director.
