Job Description

The Advancement Services Program Associate I will assist the Director, Advancement Services, with the management and workflow of the constituent records. This position is responsible for the integrity of biographical data in the College's Alumni and donor database. This role is responsible for adding and updating biographical records on alumni, friends, parents, students, staff, and donors of the college in Raisers Edge NXT, the alumni and donor database. This position reports directly to the Director of Advancement Services. The Program Associate must retain an extensive knowledge of all data rules for the entire constituent records area and will assist in generating policy and procedure to enforce current rules and support new system requirements. This position has a direct impact on the ability of the College to contact alumni and supporters to ensure that the college's Capital Campaign goal is realized. Essential Duties and Responsibilities include the following . Collaborating with the Director and Asst. Director of Advancement Services, takes a lead in the import of education data from Banner into Raiser's Edge NXT and ensures education data integrity. Runs data checks and cleanups following the matriculation and graduation data imports coming from the integration from Banner. Inputs biographical updates on alumni and friends of the College, including names, addresses, employment, education, and deceased records. Adds new constituents and biographical data to the database for current Faculty and Staff, and students. Maintains accurate contact information for corporations and foundations with an affiliation to SLCC, including foundation trustee members, foundation board members and corporate contacts. Research missing information and verifies academic information for alumni using the Banner Student database, for input into Raiser's Edge NXT. Reads online newspapers, magazines, webpages and other sources to obtain and update profile and biographical information on SLCC alumni, parents, students and friends. Uses a document imaging system to scan important articles and documents pertaining to friends and alumni for historical keeping. Reviews data integrity exceptions and fixes all data errors. Maintains email bounce back and updates current and former email addresses in Raiser's Edge accordingly. Assists the Asst. Director with scanning donations, gift documentation, and gift batch verification. Assists with running reports and lists from database using SQL queries. Basic prospect research on constituents. General office duties including filing, copying, errands and other duties as assigned. Ability to update Power BI reports and Power Automate workflows Knowledge, Skills, and Abilities Ability to understand and follow specific instructions and procedures. Ability to prepare and print routine correspondence and other basic written material. Word processing, typing and data entry skills.
Requirement s:
Excited by data and the challenge of helping a large organization become more data-driven. Highly organized and detail-oriented, independent and motivated by achieving milestones. Demonstrated ability to maintain confidentiality, exercise sound judgment and discretion, and work independently Proficient with advanced formulas in Microsoft Excel; macro experience a plus Must be able to work with internal and external partners in positive and collaborative interactions Comfortable with database reporting and data analysis, including creating and running basic SQL queries
Minimum:
one (1) to three (3) years of experience with database management and nonprofit information systems and infrastructure, preferably in higher education or non-profit setting. Experience with Raiser's Edge NXT, Banner and Omatic tools Experience performing CRM data imports and exports, including audits and data clean-up projects Experience working with Microsoft Excel, including creating formulas, analyzing data, and managing spreadsheets Experience with Power BI and Power Automate 30 credit hours of higher education Experience working in higher education advancement, alumni relations, or development operations Familiarity with data governance, data standards, or database best practices Basic knowledge of prospect research tools and techniques
