The Development Systems Coordinator supports the Development Systems team by maintaining the accuracy, integrity, and consistency of constituent data in the university's central donor database. This role is vital to successful fundraising, alumni engagement, and advancement initiatives. The coordinator manages data entry, assists with event registration systems, and provides internal support for various development tools and platforms. This position reports to the Associate Director of Development Systems & Business Intelligence.Job Description:
Responsibilities:
Constituent Data & Database Management Support consistent data management by serving as the primary point of contact for the Development Systems team to help create and update records for alumni, parents, students, and donors in the university's donor database. Assist the Development Systems team with regular database clean-up efforts and work with Development staff to maintain accurate constituent records. Collaborate with the staff to clean up inconsistencies and errors, as well as data maintenance solutions. Manage and reconcile constituent records to ensure accuracy, consistency, and integrity across systems Ensure all data entry adheres to established Development Systems policies, standards, and timelines. Systems & Tools Use development tools to gather and maintain up-to-date constituent information in the database. Generate basic reports from the donor database (e.g., contact lists, event attendee lists, giving summaries); work with team members to ensure reports are accurate and formatted as needed. In coordination with Associate Director of Development Systems & Business Intelligence, support the training of other staff members on how to use the donor database and related tools. This may include answering basic questions or preparing materials. Event Support Support event registration by mapping, syncing and maintaining accurate attendee information. Respond to internal inquiries related to event sign-ups, data entry, and participation tracking. Ensure that all event management policies and procedures are followed effectively. Assist with data tracking and entry during university-wide fundraising events or other campaign-specific days. This may include monitoring live event data, track donor interactions, and ensuring records are tagged properly for reporting and follow-up. Other Responsibilities Maintain a high degree of confidentiality and responsibility regarding information related to university business and confidential constituent data. Able to effectively manage multiple projects from multiple people and respond with flexibility as priorities shift. Take the initiative to support departmental priorities by willingly assuming additional duties that advance the team's mission and performance. Coordinate with the Associate Director of Development Systems & Business Intelligence to ensure coverage of departmental responsibilities during absences, peak giving periods, or high-volume times. Complete the performance review process with a supervisor to align individual responsibilities with departmental and university goals. Adhere to the ethical and confidentiality standards of the Development Office and CASE. Contribute to creating and sustaining a diverse, equitable, and inclusive work environment that values and celebrates individual differences. Actively participate in office and division meetings and contribute to team discussions. Perform other duties as assigned.Education/Skill Requirements:
Associate or Bachelor's degree (relevant experience may substitute for education on a year-for-year basis). Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook. Experience with accurate data entry and database support in an office or administrative setting preferred. Familiarity with Raiser's Edge or comparable donor database helpful but not required.Qualifications:
