Job Description

Durango School District is accepting applications for a Coordinator of Student Information Systems to join the team in the Technology Department. Preferred start date of April 1, 2026, however would like the candidate to be available to start no later than May 1, 2026.

SUMMARY:
Serves as the technical administrator for the district's student information ecosystem. This position is responsible for the architecture, security, and interoperability of the Student Information System (SIS), ensuring accurate data exchange between internal departments, third-party applications, and state reporting agencies (CDE). The coordinator acts as the primary technical lead for state data compliance, validating the logic and schema of submissions while collaborating with functional departments (HR, Academics, Student Services) regarding data content and policy definitions. This role focuses on high-level system configuration, SQL-based analysis, and automated integration; it does not perform routine manual data entry, registration processing, or Tier 1 clerical support.
ESSENTIAL DUTIES AND RESPONSIBILITIES
System Architecture & Interoperability System Configuration:
Manage the core configuration of the Student Information System (Student Information System) to ensure database structure aligns with district policy and reporting requirements.
Integration Management:
Oversee automated data exchanges (API/OneRoster) between the SIS and third-party applications (e.g., Clever, Transportation, Food Service, and Learning Management Systems). Monitor nightly sync logs and resolve connectivity errors. Technical Support (Tier 3): Serve as the highest level of support for complex system logic errors, grading configuration issues, or integration failures that cannot be resolved by school-based registrars or Help Desk staff.
Cycle Management:
Execute technical system rollovers for the new school year, including calendar setup, term structure, and grading window configuration.
State Reporting & Compliance Submission Management:
Serve as the District's Technical Lead for assigned CDE Data Pipeline submissions (e.g., October Count, End of Year, Safety). Manage the extraction, XML validation, and final transmission of state files.
Validation Coordination:
Facilitate the data validation process by generating error reports for data owners as needed. Ensure that the relevant department validates the accuracy of the data content prior to state submission.
Audit Support:
Provide technical data extracts and system documentation during state or federal audits.
Data Integrity & Security Security Administration:
Design and maintain Student Information System User Security Groups and Tool Rights. Ensure staff access levels are technically configured to least privilege standards based on their role.
Quality Control:
Develop SQL queries and automated reports to identify data anomalies (e.g., duplicate enrollments, missing demographics) and distribute these to school sites for correction.
Data Integrity Audit:
Assist the director in generating system logs or user access reports during privacy audits.
Strategic Capacity Building Technical Resource Coordination:
Manage system access and security rights for school registrars. Act as the primary connector to training resources and district standard operating procedures. Conduct an annual touch-base with registrars to review system access and training needs.
Technical Training:
Collaborate with Data Owners (HR, Academics, SSS) to facilitate annual training sessions on new state reporting requirements for district registrars. Deliver technical instruction on system functionality and data entry procedures, ensuring alignment with the policy and compliance standards defined by functional departments.
Process Consulting:
Collaborate with HR and department heads to develop standard operating procedures (SOPs) and training documentation for their specific modules.
System Optimization:
Analyze district operations and recommend SIS features or workflows that improve efficiency (e.g., moving paper forms to digital workflows). Perform other duties as assigned.
TECHNICAL SKILLS, KNOWLEDGE, & ABILITIES
Database Management:
Advanced proficiency in the configuration and management of Student Information Systems (Infinite Campus preferred). Ability to understand database schema, table relationships, and system logic.
Data Analysis & SQL:
Demonstrated ability to write and execute SQL queries to extract data, identify anomalies, and validate complex datasets. Proficiency in using Excel (PivotTables, VLOOKUP) for data verification.
Technical Troubleshooting:
Strong analytical skills to diagnose and resolve "fatal errors" in state reporting submissions and API integration failures. Ability to read and interpret XML file structures.
State Reporting Knowledge:
Deep understanding of the Colorado Department of Education (CDE) Data Pipeline requirements, including October Count, End of Year.
Compliance & Privacy:
Comprehensive knowledge of student data privacy laws, including FERPA, COPPA, and the Colorado Student Data Transparency Act. Ability to apply these laws to user security configuration.
Project Management:
Ability to manage multiple high-stakes deadlines simultaneously (e.g., state reporting windows) without direct supervision.
Technical Communication:
Ability to translate complex technical concepts into clear, user-friendly language for non-technical district staff and leadership.
Training Facilitation:
Experience in creating technical documentation, standard operating procedures (SOPs) and delivering training on system functionality to adult learners.
EDUCATION AND RELATED WORK EXPERIENCE
Required:
Minimum of three (3) years of experience in database management, student information systems, or complex data analysis.
Preferred:
Bachelor's degree in computer science, information technology, data management, or a related field.
Preferred:
Prior experience in a K-12 educational setting with specific knowledge of Colorado Department of Education (CDE) reporting requirements (Data Pipeline).
Preferred:
Experience with
SQL, API
management, and XML file validation. LICENSES, REGISTRATIONS, or
CERTIFICATIONS
Preferred:
Certification in Student Information System (Core, Grading, or State Reporting modules) or ability to obtain within 12 months of hire.

Microsoft Certified:
Data Analyst Associate, SQL Server certification, or similar database credential.
