The HubSpot Platform & Program Manager is the internal owner of Bankwell's HubSpot ecosystem, serving as both platform administrator and program manager. This role oversees the design, governance, and optimization of HubSpot across marketing, sales, customer support, operations, and risk. The position combines hands on platform leadership - system architecture, workflow development, data quality, reporting, and releases - with cross functional program management, including requirements intake, prioritization, communication, testing, and deployment. The goal is to ensure HubSpot remains a scalable, well governed enterprise system that replaces fragmented tools and manual processes while meeting regulatory and operational needs.Responsibilities:
HubSpot Administration & Configuration Administer and maintain HubSpot CRM, including users, permissions, workflows, properties, and objects Build and maintain workflows, automation, forms, lists, and routing rules Build and maintain dashboards and reports for business, operational, and risk stakeholders Ensure the right HubSpot tools, features, and configurations are used to meet business needs without creating unnecessary complexity Manage HubSpot upgrades, releases, and new feature adoption Data Management & Quality Monitor and maintain CRM data integrity, hygiene, and governance standards Troubleshoot data issues related to imports, integrations, and automation Support documentation of data definitions, processes, and usage standards Coordinate with the Data & Analytics team on data warehouse integration and downstream reporting needs Production Support & Continuous Improvement Act as the internal escalation point for HubSpot related issues impacting business teams Troubleshoot and resolve platform, workflow, and reporting issues Create and maintain basic user guides, FAQs, and other internal documentation Proactively identify opportunities to simplify, standardize, and optimize platform usage Program & Project Management Responsibilities Cross Functional Intake & Planning Lead cross functional requirements gathering with marketing, sales, customer support, operations, risk, and compliance teams Identify, define, and size initiatives that leverage HubSpot capabilities Translate business needs into clear scope, requirements, and success criteria Prioritization Prioritize work across multiple departments with competing demands Maintain and communicate a clear HubSpot roadmap aligned to business strategy and capacity Delivery & Execution Define workflows and solution designs prior to build Coordinate testing across users and environments Manage test and production environments Lead deployments and postlaunch stabilization efforts Ensure initiatives follow PMO processes and standards Requirements Qualifications & Experience 4+ years of experience in HubSpot systems administration (Sales, Service, workflows, objects, reporting, integrations, and governance) 2+ years of experience as a project manager, program manager, or business analyst Demonstrated experience operating in regulated environments (financial services strongly preferred) Proven ability to translate complex, cross functional business requirements into scalable technical solutions Strong program and project management skills, including requirements documentation, process flow development, prioritization, and stakeholder communication Excellent documentation, analytical, and problem-solving skills HubSpot Administrator certifications in Sales, Service, and Reporting obtained or willingness to obtain within 6 months of hire Experience with CRM integrations and basic API concepts Excellent analytical and problem-solving skills, with a data-driven approach to decision-making Excellent communication and interpersonal skills, with the ability to influence cross-functional teams and build strong relationships Entrepreneurial mindset with a passion for innovation and improving employee and customer experiencesSimilar remote jobs
