POSITION GOAL
Ensure efficiency of district and school enrollment operations by providing technical and analytical support, maintaining enrollment data accuracy, supporting school registrars, and ensuring the reliable synchronization of family communications information across SIS, communications platforms, and the district website
PERFORMANCE RESPONSIBILITIES 1.
  • Participate in SIS release testing, change management, and workflow improvement efforts related to enrollment and communications modules; document changes and communicate impacts to end users. 2.
  • Assist with the maintenance of enrollment-related forms, documentation, and job aids; ensure forms and public-facing information align with SIS data fields and workflows. 3.
  • Coordinate with the SIS Team and communications stakeholders to validate the synchronization of communications-related information between the SIS and district, school, and classroom communication tools. 4.
  • Support projects related to enrollment modernization, forms management, and communications improvements. 5.
  • Support parent/guardian contact information accuracy by assisting with processes that allow families to update contact information and by verifying high-impact records used for communications. 6.
  • Support School Choice, pre-scheduling, and back-to-school readiness activities by ensuring enrollment and contact data are accurate and available within established timelines. 7.
  • Produce routine and ad hoc enrollment/records reports and summaries for school and district stakeholders; identify trends and anomalies and communicate findings to appropriate staff. 8.
  • Monitor enrollment and contact data quality; run validation checks, reconcile discrepancies, and coordinate corrective actions with schools and district departments. 9.
  • Coordinate the training of school registrars and other school clerks by SIS and Student Services staff; collaborate with the SIS Team to align training with the new school year, software updates, and procedural changes. 10.
  • Assist schools with student records and documentation requirements (cumulative records, residency verification, immunization/health documentation, transcripts) and coordinate requests for records with sending/receiving entities as needed. 11.
  • Support district enrollment workflows including new student enrollment, transfers, withdrawals, and annual information updates to ensure timely and accurate data entry for scheduling, attendance, and communications needs. 12.
  • Serve as a district resource for student enrollment processes, registrar procedures, and SIS enrollment/records functionality; provide day-to-day support and guidance to school enrollment staff. 13.
  • Serve as a temporary resource to enroll students when a school level registrar is unavailable. 14.
  • Collaborate with the Community Information Department to conduct annual enrollment campaigns. 15.
  • Support data mapping and governance for enrollment and communications fields used across integrated systems; recommend improvements to reduce duplicate data entry and improve workflow efficiency. 16.
  • Maintain appropriate access controls and data security for enrollment and communications data in alignment with district policy and legal requirements. 17.
  • Serve as liaison between schools, the SIS Team, the communications team, and vendors to resolve enrollment, contact information, and messaging issues; track resolutions and communicate status updates.

REQUIRED QUALIFICATIONS
Associate degree in business, information systems, data analytics, or a related field; or equivalent combination of education and experience, bachelor's degree in a technical field preferred. Experience supporting student information system (SIS) enrollment workflows and electronic student record processes (entry/withdrawal, transfers, immunization/health documentation, residency verification, and records management) Demonstrated experience using SIS reporting tools and Microsoft Excel to produce operational enrollment/records reports and summaries Two (2) years of progressively responsible experience supporting K-12 student enrollment, student records, and/or student information systems (SIS) functions
Preferred:
Experience with Focus SIS and Focus Communications, and familiarity with district website content management platforms (e.g., Finalsite) Possess a valid Florida Driver's License; if a holder of any other valid US state-issued Driver's License, agree to acquire a Florida Driver's License within thirty (30) days of employment, except in a case where accommodation is required
REQUIRED SKILLS
Ability to manage time effectively, handle multiple priorities, and meet deadlines during peak enrollment periods Effective oral and written communication skills; ability to communicate technical concepts to non-technical audiences Ability to develop clear technical directions and checklists Leadership skills in coordinating training of school registrars and front office staff Ability to support online enrollment and annual forms workflows by validating SIS field mappings and assisting with process improvements Understanding of data integrations and synchronization concepts across SIS, communications, and web platforms (data mapping, scheduled imports/exports, user access, and change control) Working knowledge of query/reporting tools and the ability to learn district reporting/report writer tools to extract and analyze student data Ability to produce and interpret enrollment, membership, and attendance-related reports Ability to troubleshoot routine SIS enrollment and data issues; document findings and coordinate corrective actions with the SIS Team Knowledge of student enrollment and records practices, including data quality controls and confidentiality expectations Customer service skills working with parents and their children in challenging enrolment situations Technical abilities to configure and synchronize student information databases across different systems for enrollment and parent communications
