OBJECTIVE:
Under the direction of the Program Manager, performs technical, data collection, entry and audits data for the program.
MINIMUM QUALIFICATIONS
  • AA degree in computer science, business, or closely related field of study plus four years' experience working with databases and/or computer systems/programs or any combination of education and experience to equal six (6) years.
  • Knowledge of PC operating systems, including Microsoft Office.
  • Ability to work well with a team.
  • Ability to work non-traditional hours.
  • Must have good written and oral communication skills.
  • Must be able to use discretion in all facets of work-related situations.
  • Ability to perform all works rapidly and accurately, meeting all deadlines when applicable.
  • Must be able to communicate technical subject matter to end-users in a non-technical manner. Ability to work under time constraints and other demands.
  • Ability to develop methods for intake and prioritization of troubleshooting requests.
  • Ability to establish and maintain effective working relationships.
DUTIES & RESPONSIBILITIES
(Not Inclusive):
  • Conduct initial entry of all participant files into required database that includes all required forms and information.
  • Ensure quality assurance of all participant files regarding initial entry into required database.
  • Assist staff with data entry on participant data, services, and outcomes as needed.
  • Develop and maintain data entry manual for training purposes.
  • Provide database training to all new staff documenting completion and knowledge.
  • Provide ongoing training for staff in required database including changes or upgrades to the system.
  • Provide quality assurance of all applicable technical and/or administrative requirements (i.e. uploading of timesheets, checks, work packets, forms, plans, certificates, assessments, etc.) in required database on monthly basis to ensure proper entry and maintenance in system by all staff.
  • Assist in internal audits or preparation for audits by funding entity.
  • Coordinate data corrections as needed in response to Desk Reviews or audits by management or the funding entity.
  • Responsible for the oversight of program compliance with HIPAA regulations to include attending training and providing training to site specific staff on these regulations.
  • Assist with data entry and maintenance of tracking systems developed by Management, .
  • Coordinate services and troubleshooting issues with the YDI IT contractor and other IT providers as necessary.
  • Generate monthly performance or other identified reports from the required database for review by management.
  • Generate monthly predictive reports from available performance databases on all performance measures for review by QA and Management.
  • Conduct analysis of data for reporting, grant writing and quality assurance purposes.
  • Participate in writing reports and documentation of data methods and procedures.
  • Assist the Vice President, Program Managers and the IT department in evaluating hardware, software, and new technology to make purchase recommendations for the division.
  • Participate in the Peer Model with staff in the same/similar program and position to exchange best practices and provide information, support and mentoring.
  • Complete 18 hours of training each program year related to position for continued knowledge and professional development.
  • Meet and document monthly benchmarks on established plans developed by management that is aligned to contract goals and outcomes.
  • Other duties as assigned.
JOB CHARACTERISTICS/PHYSICAL DEMANDS
This is a professional position, which requires organizational and communication skills, as well as judgment, tact and diplomacy in contacts with Head Start employees, community residents, parents and local government agencies. Strict adherence is required to all regulations concerning confidentiality. Background investigation to include fingerprinting will be required. Physical required at time of hire and may be required every five years. TB Test may be required. Travel may be required. Must submit valid driver's license and proof of satisfactory car insurance under NM Motor Vehicle requirements. Youth Development, Inc. is an at-will employer. Employment is by mutual consent of the company and employee, and either may terminate the relationship at any time with or without cause or advance notice. This job is contingent upon funding; however, availability of funding is not a guarantee of continued employment, nor does it imply any specific term of employment.
