Position Summary:
Provide high level professional administrative and technical support, as part of the technical services team, to the technical services, field services, transportation, sales, disposal facility, and operational teams while providing excellent internal and external customer service. Support timely data entry, documentation review, and quality assurance. Ensure documentation is complete, accurate, and aligned with approved work prior to billing, emphasizing accuracy, consistency, compliance, and proactive resolution of discrepancies. Ensure compliance of all Responsible Care® Management System, codes and initiatives.

Job Responsibilities:
Data Entry & Quality Assurance Accurately enter, review, and maintain data across multiple systems, including internal software (Wastebits), shipment/manifest systems, billing platforms, and tracking tools. Perform routine QA/QC checks to ensure data accuracy, completeness, and alignment with supporting documentation and approved work. Identify discrepancies between documentation, schedules, and approvals; investigate, resolve, or escalate as needed. Track and follow discrepancies through resolution, coordinating with internal teams to ensure timely closure. Maintain standardized data procedures, naming conventions, and documentation practices. Support data cleanup, audits, historical validation, and internal reporting requests. Compliance & Documentation Review and reconcile transportation and compliance documentation including manifests, bills of lading (BOLs), receiving slips, vendor invoices, lab analysis, and related shipping records. Verify documentation accuracy against approved quotes, schedules, and service requests to confirm work was performed as authorized. Enter and maintain waste/material-related data, including profiles, approvals, regulatory documents, and customer records under team direction. Maintain accurate, audit-ready records for shipments, waste streams, approvals, and customer documentation. Ensure confidentiality, regulatory compliance, and data integrity across all systems. Partner with internal teams (Operations, Transportation, Technical Services, Billing, Sales) to investigate and resolve documentation or service discrepancies. Communicate clearly and proactively to obtain missing information, clarify inconsistencies, and drive timely resolution. Ensure all documentation meets internal standards before release for billing processing. Transportation & Operational Support Compare transportation schedules, service requests, and quote details against completed shipment documentation to ensure alignment. Confirm completeness and correctness of documentation prior to billing; process records accordingly when criteria are met. Identify and investigate inconsistencies between planned work and executed services, collaborating with Transportation, Operations, and other internal stakeholders to resolve issues. Support transportation tracking, documentation reconciliation, and operational recordkeeping. Assist with maintaining accurate customer, site, and shipment-related records. Cross-Functional & Process Improvement Provide data and documentation support across Technical Services, Field Services, Transportation, Operations, Billing, and Sales to maintain accurate and accessible information. Support development and continuous improvement of workflows related to documentation review, QA/QC, and billing readiness. Help identify process inefficiencies and recommend improvements to reduce errors and improve turnaround time. Support pre-billing and work order activities through documentation preparation and data validation. Assist with special projects and additional departmental tasks as assigned.
Qualifications/Position Requirements:
High School Diploma or GED required. Associate's or Bachelor's degree, or equivalent combination of education and experience preferred Must have strong attention to detail with demonstrated accuracy in data entry and document review. Must have Intermediate Microsoft Office skills (Word, Excel, Outlook). Must have strong organizational, analytical, and problem-solving abilities. Must have the ability to manage multiple priorities in a deadline-driven environment while maintaining accuracy. Must have demonstrated initiative with strong follow-up and issue resolution skills. Must have effective communication skills (oral, written, and interpersonal) with ability to coordinate across teams. Must be have the ability to lift office materials / sample shipments up to 60 pounds. Experience in environmental services, technical services, transportation coordination, data management, or customer service preferred. Familiarity with transportation documentation (manifests, BOLs) and billing or reconciliation processes perferred. Working knowledge of federal, state, and local environmental regulations preferred. Familiarity with waste management or data systems preferred.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer; occasional standing, walking, bending, climbing, lifting, pushing/pulling, carrying, grasping, reaching, stooping, or crouching within the office. Frequent use of hands and fingers for typing, data entry, and operating standard office equipment (computer, keyboard, mouse, printer, copier). This is an in office role with the ability to complete work remotely as needed (home, project sites, business travel, etc.).
