C a s e Man a g er / D a t a C oo rd i n at o r Position Overview The Case Manager/Data Coordinator is responsible for overseeing s t ud ent ca s e ma nage m e nt, d a ta e ntry a n d com p l i ance, a n d r e c r u i t me nt p i p e l i ne tr a c k in g , while supporting student progression into c a r e e r p ath wa y s a n d p o s t s e c o n d a r y ou tcom e s . This role serves as the prim a r y o w ner of st ud e n t d a ta s y st e m s a nd rec ord s , ensuring accuracy across f e d era l, s t a t e , a n d l o ca l r e p o r t in g p latform s , including alignment with B IS D - r elat e d d o cum e n t a t io n a nd r e qu i re m e nts w he r e a ppl i ca b l e . The Case Manager works in close partnership with the P a t h w a y s S u c c e s s M a nager to ensure students successfully transition from enrollment to c r e dent i a l att a in m e n t, em p l o y m e n t, a n d p ost se c on d ary p l ac e m e n t . Key Responsibiliti es 1. C a s e M ana g eme n t & S t u d e n t Supp ort Provide comprehensive case management, including: o Intake, eligibility verification, and enrollment Individual Service Strategy (ISS) development, Individual Education Plan (IEP) and tracking Ongoing monitoring of attendance, academic progress, and barriers • Support students in overcoming barriers such as: Transportation Childcare Employment readiness Social-emotional needs Maintain consistent communication with students and families • Coordinate referrals to internal and external services Coordinates weekly/biweekly home visits Coordinates Alumni Success by organizing Alum Nights, conducting follow-ups to support continued engagement and progress 2. D ata E nt r y, C o mp l i ance & R e p o r t i ng Serve as the p r i mar y m a n a g e r o f a l l stu d e n t d a ta s y st e m s , including: o Federal (DOL YouthBuild reporting systems) State (DOL/TEA-related systems, TEFA, as applicable) o Local/internal trackers Ensure all data is: Accurate Timely Audit-ready Track and maintain key performance indicators, including: Enrollment and retention Attendance Credential attainment (GED, certifications) Placement and postsecondary outcomes Support grant reporting, audits, and monitoring visits (QPRs, performance reports) 3. Re c r u it m ent & Enro l l m ent P ipel i n e Lead and support recruitment efforts, including: Community outreach and partner engagement Information sessions and open houses Manage the full recruitment pipeline: Inquiry Application Enrollment Track applicant progress and ensure completion of required documentation. Collaborate with staff to meet enrollment targets 4. R e c o r d s M ana g eme n t ( D ig i t al & Phy s ical) Maintain organized, compliant student files, including: o Eligibility documentation o Academic and attendance records o Case notes and ISS documentation Manage both d i gi tal a n d p h y sic a l f il es in coordination with the Operations Manager Ensure all records meet f e d e r a l , st a t e , a n d or g a nizati o n al com p l i ance s t a n d ar ds 5. P a t h w ays & P l a c eme n t Coo rd i nat i o n Work in close partnership with the P a th wa y s S u cce s s M a nager to: o Track student progress toward career pathways o Monitor credential completion and work readiness milestones o Support job placement and postsecondary transitions Ensure all placement and outcome data is a c c u ra t e ly d o c u me n t e d a n d r e p o rt e d Assist in tracking alumni outcomes and follow-up data 6. C ross - F un ct i o n al Col l aborat i on Collaborate with: o Operations Manager (systems, compliance, records) o Teachers (attendance, academic interventions) o Pathways Success Manager (placement and outcomes) o Leadership (data reporting and performance monitoring) Participate in regular data reviews and continuous improvement cycles Works under the supervision of the Operations Manager Qualifications Bachelor's degree preferred (Social Work, Education, Public Administration, or related field) Experience in: o Case management, workforce development, or education programs preferred o Data entry and reporting systems required Strong organizational, documentation, and systems management skills Ability to manage multiple priorities and deadlines Experience working with opportunity youth preferred Core Compete n cies Data accuracy and compliance management Organization and systems thinking Student-centered support and relationship-building Time management and multitasking Cross-functional collaboration Confidentiality and professionalism What Success Looks Like Student data is a c c u r at e , comp l et e , a n d a ud i t - r e a d y at all t i me s Recruitment pipeline is actively managed and supports e n r oll m e n t ta r g e ts Student files (digital and physical) are o r g a ni z e d and c o m p li ant Students receive consistent support and demonstrate measurable progress Strong alignment between c as e m a n a g e me nt a n d p ath wa y s o u t c o me s ( p l a c em e n t, e du ca t io n , c a r e er s ) All reporting deadlines are met with high-quality data Yearly Salary $45,000 Exempt GhliDELyXD
