Job Title:
Admission Data Manager Job Description This position requires a person with strong organizational and detail-oriented skills in a multi-tasking environment. The Admission Data Manager is a dual-role professional responsible for the integrity of the school's recruitment data and the excellence of the prospective family experience. This individual serves as a primary "face of the school," requiring a blend of technical proficiency in database management (Blackbaud/Finalsite) and exceptional interpersonal skills to guide families through the enrollment funnel. Additionally, this person would oversee the scheduling of admission testing and administration. Job Responsibilities Maintain the family record database (Blackbaud) and recruiting systems; process applications, manage enrollment/matriculation, and generate ad-hoc reports. Oversee the scheduling and administration of admission testing for all applicants (Kindergarten through Grade 12). Serve as the lead for admission technology, including Finalsite RSVP forms, Blackbaud troubleshooting for families, and the digital distribution of contracts and decisions. Manage the admission email and phone lines; proactively respond to inquiries, assign leads to staff, and coordinate school-wide visitor notifications. Plan and execute admission events and campus visits, including scheduling, preparing marketing materials, and managing onsite signage and supplies. Provide a premier "first impression" experience by greeting visitors, conducting tours as needed, and supporting families throughout the admission cycle. Partner with the Registrar and Advancement teams on database integrity and support the wider admission team with operational needs. Ensure strict confidentiality and professional discretion regarding all family records and sensitive school data. Qualifications Strong Microsoft Office skills (Excel/Mail Merge); experience with Blackbaud and Finalsite preferred. Outstanding people skills with the ability to interface professionally with diverse populations. Highly organized with the ability to prioritize tasks and meet deadlines in a fast-paced, multi-tasking environment. A collaborative, "all-hands-on-deck" approach with a commitment to the school's mission and values. Understands independent school structures and the ability to work flexible hours (including occasional evenings) for key events.
