SUMMARY:
Under the direct supervision of the Executive Director of Dual Credit and High School Partnerships, the Dual Credit Enrollment & Data Services Coordinator plays a critical role in supporting the operational, enrollment, and data management functions of the dual credit program. This position ensures the integrity and accuracy of student records from application through graduation, serving as a key liaison with internal and external partners. The coordinator provides high-level support in onboarding, student record maintenance, registration, data tracking, and documentation required for institutional effectiveness and grant compliance. Qualifications (Required and Preferred)MINIMUM QUALIFICATIONS
Bachelor's degree. Two (2) years of general administrative, clerical, or office experience.PREFERRED
Experience working in higher education, preferably in student services or admissions.CERTIFICATION OR LICENSES
Valid Texas Driver's License, or ability to obtain one. Job Duties and Responsibilities The incumbent will: Contribute to the effective and efficient enrollment of new students. Pull and process applications through Recruit, creating and maintaining student profiles, and ensuring required documentation (transcripts, test scores, meningitis records) is on file. Process admission applications for all dual credit students, including new, returning, and prospective dual credit students. Monitor and manage the status of all student documentation, including placing and clearing holds (e.g., PERC holds). Perform and assist with data entry and updates of student records, including applications, degree plans, test scores, waivers, exemptions, adds, drops, degree plan audits, and holds. Collaborate with ISD counselors to collect missing documentation, provide updates, and confirm accuracy of student records. Verify information and handle routine requests for student records and related information. Register students into courses, manage dual credit course waitlists, and track seat availability. Perform highly technical and complex tasks, facilitate and expedite work, and perform other related duties. Review, scan, and upload student documentation into OnBase to maintain digital record compliance. Assist with the development and processing of Memoranda of Understanding (MOUs) and graduation applications. Coordinate the dual credit student application process by revising application documents, scheduling submission timelines, and accepting and reviewing applications in collaboration with the Dual Credit Staff. Serve as a point of contact for inquiries from students, families, and ISD staff regarding applications and registration status. Maintain and troubleshoot the dual credit dashboard, proactively identifying and resolving data or enrollment discrepancies. Track enrollment metrics, run reports, and provide documentation for institutional or grant reporting purposes. Develop and maintain accurate data, and conduct regular checks to ensure its integrity. Establish, maintain, and update files (both software and hard copy), databases, records, and other documents necessary for accurate reporting. Process registration applications, including reviewing applications through Recruit and processing schedule request changes as applicable. Process documents submitted by high school counselors for prospective applicants. Retrieve missing test scores from Accuplacer and input them into Ellucian. Assign endorsement pathways to all applicants. Analyze information and support dual credit staff by understanding the TEA and THECB rules, regulations, statutes, laws, and policies. Respond promptly to all student inquiries received via email, text, and phone systems. Review and enter information on the bacterial meningitis vaccine or waiver. Review residency and ensure the correct information is entered in the student's profile. Make required changes to forms and documentation for a student's permanent record that may include, but are not limited to, demographic information, social security numbers, and/or program updates. Identify discrepancies and determine appropriate action, referring complex issues to the dual credit staff. Communicate to students clearly and concisely, update comments, and document all conversations appropriately. Possess a thorough understanding of college policies, procedures, and requirements and effectively communicate them to students and ISD administrators. Prepare or assist with preparing scheduled or ad hoc statistical and narrative reports. Ensure the accuracy of all dual credit documents. Maintain confidentiality in accordance with FERPA requirements. Assist with Student Preparatory Orientation Training Sessions (SPOTS) Camp. Provide front desk support for the TBI campus, including greeting visitors and answering phones as needed. Support other college orientation sessions. Maintain a thorough understanding of TEA, THECB, and Temple College policies. Perform essential information gathering. Perform other duties as assigned.SOCIAL CONSTRUCTS REQUIRED OF POSITION
