Office & Information Technology ManagerLocation Mokena, Illinois Schedule Monday - Friday, 8:00 AM - 4:00 PM (Onsite) Organization Overview We are a mission-driven non-profit organization dedicated to serving our community through efficient operations and reliable technology. We are seeking a hands-on leader who can oversee both office administration and IT service delivery while supporting a collaborative, service-oriented environment. Position Summary The Office & Information Technology Manager is responsible for managing daily office operations and IT support services. This role ensures all service tickets, administrative tasks, and operational responsibilities are properly assigned, tracked, and completed on time. The position supervises staff, coordinates scheduling, manages inventory and procurement, and ensures seamless day-to-day operations. This role reports directly to the Chief Operating Officer (COO). Salary Range $65,000 - $80,000 annually , based on experience and qualifications Reporting Structure Reports to: Chief Operating Officer (COO)Direct Reports:
2 Full-Time Employees, 3 Part-Time Employees Key ResponsibilitiesTeam Leadership & Operations Supervise and coordinate daily activities of office and IT staff Ensure adequate staffing coverage during business hours Assign and manage all incoming service tickets and operational tasks Monitor performance and enforce accountability for deadlines and quality Balance workloads and adjust staffing as needed IT Service Management Oversee ticket intake, prioritization, and assignment Schedule onsite technical support as needed Ensure timely resolution of all technical issues Serve as escalation point for complex or unresolved issues Maintain clear communication with staff regarding ticket status Office Administration Oversee day-to-day office operations Coordinate vendors, supplies, and facility needs Ensure efficient administrative workflows Inventory & Procurement Maintain accurate inventory of hardware, software, and equipment Manage procurement of technology and office supplies Track asset lifecycle (purchase, deployment, maintenance, replacement) Ensure accountability and documentation for all assigned assets Execution & Accountability Ensure all tasks are completed accurately and on schedule Identify inefficiencies and implement process improvements Provide regular updates and reporting to the COO Proactively address delays, risks, or staffing gaps Key Performance Indicators (KPIs) &Service ExpectationsTicket Management & IT Support Ticket Response Time:
Initial response within 2 business hours (95% of tickets)Ticket Resolution Time:
Standard issues resolved within 24-48 hours (90-95%)Ticket Assignment:
100% of incoming tickets assigned within 1 business hourBacklog Management:
Maintain < 10% of tickets overdue at any time Service Quality & Communication Provide clear status updates for 100% of open tickets Maintain high internal customer satisfaction (target: 90%+ positive feedback , if measured) Ensure consistent communication for delays or escalations Staffing & Operations Ensure 100% coverage during business hours (no gaps in support) Maintain balanced workload distribution across team members Complete staff scheduling at least 1 week in advance Inventory & Asset Management Maintain 100% accurate inventory tracking of all IT assets Ensure all new equipment is logged and assigned within 24 hours of deployment Conduct quarterly inventory audits with zero unaccounted assets Maintain proper documentation for asset lifecycle tracking Procurement & Efficiency Process procurement requests within 2-3 business days Ensure cost-effective purchasing aligned with budget Identify and implement at least 2 process improvements annually Reporting & Accountability Provide weekly status reports to the COO Report on ticket metrics, staffing, and operational risks Escalate critical issues immediately Qualifications 5+ years of experience in office management, IT support, or operations management Experience supervising staff or leading teams Familiarity with help desk/ticketing systems Experience with inventory tracking and procurement Strong organizational, problem-solving, and communication skills Ability to manage multiple priorities in a structured environment Preferred Qualifications Experience working in a non-profit organization Familiarity with budgeting and resource management Experience supporting small to mid-sized teams Benefits (Customize as Needed) Health, dental, and vision insurance Paid time off and holidays Retirement plan (if applicable) Professional development opportunities Work Environment Onsite role in Mokena, IL Standard business hours with occasional need for flexibility during critical issues How to Apply Please submit your resume and a brief cover letter outlining your experience in operations and IT management.Pay:
