Position Overview:
We are looking for a highly organized, systems-savvy IT & Operations Project Coordinator to keep our ERP workflows, technology stack, and day-to-day operations running smoothly. You'll bridge technical systems and business operations, ensuring projects stay on track, processes are well documented, and issues are routed appropriately. This role blends ERP and systems administration, process management, and cross-functional coordination. You'll collaborate with internal teams and external vendors to maintain reliable, documented, and compliant operations. By overseeing workflows, IT tasks, and process improvements, you'll help every department operate confidently and efficiently.
Duties & Responsibilities:
1. NetSuite & ERP Workflow Coordination Manage purchase orders, sales orders, and QC workflows within NetSuite. Track and test SuiteScripts, SuiteTax, and saved searches to verify data accuracy. Coordinate with NetSuite partners on integrations (Pacejet, RFSmart, EDI). Maintain workflow documentation and help translate business needs into system updates. Support demand planning and reporting projects by gathering requirements and verifying outputs. 2. Process & Operations Support Partner with operations on shipping and fulfillment workflows. Maintain SOP's, password protocols, and process documentation. Support power recovery and continuity testing with IT / facilities. Identify and track process improvement opportunities across teams. 3. Systems & IT Operations Coordination Manage and prioritize systems-related tickets, tasks, and small projects. Coordinate user access, permissions, and account setups (Microsoft 365, NetSuite, VPN, VoIP). Work with IT vendors on network reliability, hardware troubleshooting, and license renewals. Keep inventory of devices and software assets current and auditable. Maintain internal systems documentation for clarity and compliance. 4. Hardware & Infrastructure Oversight Liaise with IT providers to ensure connectivity and hardware uptime at office / warehouse / studio locations. Coordinate maintenance of network monitoring, security cameras, and door access systems. Track hardware deployment (printers, tablets, displays) and assist with vendor scheduling. 5. Project & Vendor Coordination Track IT and ERP projects, milestones, and deliverables. Communicate updates, risks, and next steps to leadership. Serve as the point of contact between internal teams, software partners, and service vendors. Ensure follow-ups and documentation are handled promptly and completely. 6. EDI/ Integration Support Coordinate EDI trading partner onboarding and periodic connection checks. Escalate and track integration issues to closure with appropriate vendors. Skills/Qualifications Exceptionally organized, proactive, and thorough. Comfortable navigating ERP and administration dashboards (NetSuite experience a plus). Skilled at communicating between technical and non-technical teams. Calm and dependable when priorities shift or systems hiccup. Focused on clarity, documentation, and follow-through. Experience with NetSuite ERP, SuiteScript, or SuiteTax. Familiarity with Meraki, AWS, M365, VoIP, VPN administration. Exposure to warehouse / logistics environments. Strong process-mapping and SOP-writing abilities.
