Summary of Position:
Under the direction of the Director of Enrichment and Finance for Blue Ridge Academy, this position is responsible for providing customer service and support to school vendors, families, and staff. The Vendor Specialist will process and review incoming vendor documents, vendor invoices, and audit requests.
Duties and Responsibilities:
I. Responsibilities to school and staff A. Attends all required meetings and trainings B. Completes all work thoroughly C. Manages time effectively to meet all necessary deadlines D. Response to all calls and emails in a timely manner E. Provides excellent customer service II. Responsibilities to Department A. Respond timely to new vendor documents and follow up regularly B. Review vendor appropriateness according to Blue Ridge vendor guidelines and submit for coordinator approval C. Communicate vendor onboarding status and decisions to vendor and staff D. Review vendor documents for accuracy and contact vendors for document revisions E. Create vendor agreement and send for signature to vendor and Principal F. Update vendor information in the procurement system and all Blue Ridge applications G. Support existing vendors with updated information and documents H. Monitor and respond to vendor and audit delegated email inboxes I. Reconcile invoices in the procurement system and all Blue Ridge applications J. Submit audit requests and follow up with the applicable department, if invoices do not match procurement system K. Process 50+ per day invoices for full 8 hour invoicing period L. Monitor and follow up on audit survey responses within the 30 day cancellation guideline M. Process audit requests including cancellations, revisions, refunds, and returns N. Reconcile credit memos to student account in procurement system and Blue Ridge applications O. Submit credit memos to Accounts Payable P. Provide shipping labels for audit requests and apply shipping cost to student account if applicable Q.
Complete student withdraw process:
review student account for pending orders, cancel orders, reach out to vendors and confirm cancellation R. Complete full account audits upon request to families and staff S. Communicate with other Blue Ridge departments as needed to complete job duties T. Assist with additional assignments, as needed III. Mission and Vision A. Promotes Blue Ridge Academy's mission & vision statements and core values B. Follows and supports all Blue Ridge policies and procedures C. Maintains positive attitude IV. Other duties as assigned.
Qualifications:
  • One to three years of relevant work experience
  • Ability and comfort in working in a fast-paced, entrepreneurial environment, with a demonstrated ability and desire to flexibly shift responsibilities over time as the role and department evolve
  • Excellent analytical and data-based decision making skills
  • Strong customer service orientation in approach to working with teachers, school administrators, and families
  • Proficient keyboarding and file maintenance skills
  • Strong organizational, communication, and interpersonal skills
Preferred Qualifications:
  • Working knowledge of technology and technological platforms including but not limited to: Google Suite (Gmail, Excel, Google Docs/Word, Google Forms), Microsoft OS platform
  • Professional etiquette with regards to technology use
  • Excellent written and oral communication skills
  • Experience working in virtual education settings
  • Demonstrate the ability to work effectively as a team member, work independently, and be self-motivated
  • Demonstrate the ability to quickly grasp new techniques, deal with rapid changes and events, and remain calm in stressful situations
  • Promote a positive atmosphere
  • Demonstrate flexibility in the workplace
Education:
  • Associate degree required or
