Job Summary We are seeking an organized and detail-oriented Service Administrator to support our service department and ensure efficient daily operations. The Service Administrator will serve as a key point of contact for customers, technicians, and internal departments by coordinating service requests, scheduling appointments, processing documentation, and maintaining accurate records. The ideal candidate is customer-focused, highly organized, and able to manage multiple priorities in a fast-paced environment. Key Responsibilities
- Coordinate and schedule service appointments, work orders, and technician assignments
- Communicate with customers regarding service requests, updates, and completion timelines
- Prepare and process service-related documentation, invoices, and reports
- Maintain accurate customer, equipment, and service records in company systems
- Monitor open service tickets and ensure timely follow-up and resolution
- Support technicians by organizing schedules, parts, and required paperwork
- Assist with warranty claims, purchase orders, and billing inquiries as needed
- Answer incoming calls and emails professionally and direct inquiries appropriately
- Collaborate with service, sales, and operations teams to ensure customer satisfaction
- Maintain inventory records and assist with ordering service-related supplies when required Qualifications
- High school diploma or equivalent required; associate degree preferred
- Previous administrative, customer service, or service coordination experience preferred
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office and service management or CRM software
- Ability to work independently and as part of a team
- Strong attention to detail and problem-solving skills Preferred Skills
- Experience in service administration, dispatching, or scheduling
- Knowledge of invoicing, work orders, and warranty processing
