Position Summary The Sales Systems Administrator plays a critical role in supporting the Sales & Events team through the administration of sales systems, group inventory management, reporting, and reservation oversight. This position serves as a key liaison between Sales, Events, Front Office, Reservations, and Revenue Management to ensure the accurate setup, maintenance, and execution of group and guest room blocks. The ideal candidate is highly organized, detail-oriented, analytical, and thrives in a fast-paced hospitality environment. Success in this role requires strong communication skills, system proficiency, and the ability to manage multiple priorities while ensuring exceptional service for both internal and external customers. Key Responsibilities Create, maintain, and audit guest and group room blocks to ensure accuracy and alignment with contractual agreements and operational needs. Partner closely with Sales Managers, Event Managers, Front Office, Reservations, and Revenue Management teams to coordinate room inventory and group accommodations. Monitor group pickup, rooming lists, cut-off dates, and inventory utilization, communicating opportunities and concerns to stakeholders. Support the execution of group reservations, VIP accommodations, and special guest requests. Maintain the integrity of sales and property management systems, ensuring accurate data entry and reporting. Generate and distribute daily, weekly, and monthly reports related to group business, forecasting, room block utilization, and sales performance. Assist with contract processing, account maintenance, and sales administrative support as needed. Conduct regular audits of group reservations, room blocks, and sales systems to identify discrepancies and implement corrective action. Serve as a resource for system troubleshooting and process improvements related to sales and group housing functions. Collaborate with operational departments to ensure seamless execution of group arrivals, departures, and event-related rooming needs. Maintain confidentiality of guest, client, and company information. Qualifications Previous hotel experience required; Front Office, Reservations, Sales, Catering, or Revenue Management experience strongly preferred. Experience working with hotel property management systems and sales platforms preferred. Strong understanding of hotel room inventory, group reservations, and room block management. Exceptional attention to detail and organizational skills. Strong analytical and problem-solving abilities. Advanced proficiency in Microsoft Excel and working knowledge of Microsoft Word and PowerPoint. Excellent verbal and written communication skills. Ability to work independently while maintaining strong cross-functional relationships. Ability to prioritize multiple projects and meet deadlines in a fast-paced environment.
