Job Description

At Heartland, we don't just support customers, we keep the entire operation moving. As a Customer Service Specialist on the Operations team, you'll play a key role in ensuring our customers and internal teams have the support, structure, and information they need to run efficiently every day. You'll work closely with customers, sales reps, vendors, and internal teams to keep daily operations on track, resolve issues as they come up, and ensure consistent, high quality customer experience. You'll also serve as a key connection point across the business, supporting day-to-day requests, managing contracts and account updates, maintaining system accuracy, and helping improve the processes that keep Heartland operating at a high level. What You'll Do SystemsProcess Support Maintain system workflows, permissions, user access, and documentation Support SharePoint updates, page maintenance, and internal systems administration Track, prioritize, and resolve operational support tickets Assist with system enhancements, testing, and process improvements Maintain change logs, records, and operational data accuracy Support reporting requests and dashboard updates Provide backup support to the Operations Manager as needed AgreementsRenewals Manage customer contract renewals from start to finish, create quotes, pricing updates, process agreement changes Track open opportunities and follow through to completion Maintain accurate agreement, pricing, and configuration records Partner with Sales, Support, and vendor teams to resolve discrepancies Ensure renewal documentation is complete, compliant, and on time Respond to internal and customer agreement inquiries Business Operations Identify ways to improve efficiency and streamline workflows Support new tools, projects, and operational initiatives Prepare and manage business documents such as NDAs, MSAs, and Statements of Work Assist with quality control, compliance, and process consistency Coordinate documentation and records management Provide exceptional support to internal teams and external partners Help create scalable processes that support company growth What You Bring Experience in operations, administration, or a related role Strong organization and multitasking skills Excellent communication and follow through Attention to detail and problem-solving ability Proficiency in Microsoft Office and business systems Ability to adapt quickly and work collaboratively The starting salary for this role is $50,000 to $60,000 depending on experience, qualifications, with opportunities for growth based on performance and expanded responsibilities.
