Actively Interviewing for Quality Systems Specialist to join medical laboratory in Norcross, GA! Job Description The Quality Systems Specialist provides critical administrative support to Quality and Compliance functions by managing record archival, high-volume record scanning and destruction, and the administration of electronic Quality Management Systems (eQMS). This role supports document control and quality event processing, assists users with eQMS access and administration, and helps ensure training and competency programs align with appropriate curricula and job codes. The specialist organizes and prioritizes high-risk and high-priority tasks, contributes to continuous process improvement, and supports various quality-related projects in a regulated environment. Responsibilities Provide administrative support to Quality and Compliance areas, including high-volume record scanning, record destruction, and record archival activities. Administer electronic Quality Management Systems (eQMS), including user setup, access control, and ongoing user administration activities. Support document control processes by managing document creation, revision, distribution, and archival in accordance with quality procedures. Coordinate and process quality events within the eQMS, ensuring timely documentation, review, and closure of records. Process requests within eQMS, including record retrieval, record reviews, and updates to user permissions and roles. Provide support to Learning and Development, Training, and Competency Programs to ensure training programs are properly linked to curricula and learner functional job codes. Maintain and organize medical records, batch records, and other quality documentation to support quality assurance and quality control activities. Use Microsoft Office applications, including Word, Outlook, Visio, PowerPoint, and Excel, to prepare documents, reports, and tracking tools related to quality systems and records. Manage multiple tasks to completion, organizing efforts to prioritize high-risk and high-priority actions and meet deadlines. Collaborate with team members to identify and implement continuous improvements in quality system processes and document management. Perform filing, scanning, and general administrative support duties in a high-volume environment, ensuring accuracy and completeness of records. Support quality management system activities, including document management and quality assurance documentation, in a regulated environment. Operate motor vehicles as needed to support job duties, including in various weather conditions. Perform other duties and projects as assigned by Quality Systems leadership to support overall quality and compliance objectives. Essential Skills High school diploma or general equivalency diploma (GED) required. Minimum of 2 years of experience in high-volume administrative duties. At least 6 months of experience handling high-volume administrative tasks in a professional setting. Experience with filing, scanning, and general administrative support functions. Experience using Microsoft Office applications, including Word, Outlook, Visio, PowerPoint, and Excel. Strong computer skills with the ability to work efficiently in electronic systems and databases. Experience with document control, document management, or records management processes. Knowledge of or experience with quality management systems and quality assurance or quality control documentation. Ability to manage medical records, batch records, or similar regulated documentation. Excellent multitasking skills with the ability to handle multiple priorities in a fast-paced environment. Strong problem-solving skills and the ability to resolve issues proactively. Excellent written and oral communication skills. Capability to operate motor vehicles in all types of weather conditions. Additional Skills & Qualifications Sixty (60) hours from an accredited college or university or an Associate Degree from an accredited college or university is preferred. Preferred one or more years of quality assurance or quality control experience in a regulated environment. Experience within a medical office is preferred but not required. Experience working with electronic Quality Management Systems (eQMS) is highly beneficial. Familiarity with training and competency programs, including linking training to curricula and job codes, is an advantage. Experience in document control, quality assurance, quality control, batch record management, and medical record handling is considered a plus. Demonstrated ability to work independently and take ownership of assigned tasks and projects. Strong attention to detail and commitment to maintaining accurate and compliant records. Work Environment The Quality Systems Specialist works primarily in a record management office environment. The office is a small, narrow space without windows and is equipped with a desk, desk chair, files, and a scanner to support high-volume record management and document scanning activities. Training takes place Monday through Friday from 8:00 a.m. to 5:00 p.m. The regular schedule follows a Monday through Friday first-shift pattern, with a flexible start time between 8:00 a.m. and 10:00 a.m., and the role requires a total of 40 hours per week. The organization is growing, with expanding laboratory space and increased sample volume, and this role plays an essential part in maintaining accurate documentation records while offering the opportunity to work independently within a supportive quality and compliance-focused environment. Job Type & Location This is a Contract position based out of Norcross, GA. Pay and Benefits The pay range for this position is $25.00 - $25.00/hr.
