  • Contract About us We are a large multi‑family framing and construction firm based in the Los Angeles area.
We run multiple projects at any given time and manage a high volume of bids, RFIs, coordination emails, reports, and documentation. We are looking to bring AI deeper into our day‑to‑day operations to make our office team faster, more accurate, and more efficient. Role overview We are seeking a contract AI Operations Lead for a 3-6 month pilot engagement focused on office workflows (estimating, project coordination, admin, and owner support). Your job is to sit with our people, understand how work actually gets done today, and design practical AI assistants that reduce manual work and improve speed and consistency. This is a hands‑on builder role, not a pure strategy or research position. You will use modern LLM tools, workflow automation platforms, and APIs to create working copilots that our staff will use every day.

  • remote plus on‑site sessions as needed) Key responsibilities Partner 1:1 with office staff (estimators, project coordinators/PM support, admin/owner) to map recurring tasks and pain points in their daily work.
Identify and prioritize 3-5 high‑impact use cases for AI assistants in the office (bids, RFIs, submittals, email drafting, logs, reports). Design, build, and deploy role‑specific AI assistants using LLM platforms and automation tools (e.g., ChatGPT‑style tools, Zapier/Make, custom scripts, or similar).
Create assistants for:
Estimating:
plan/spec intake, takeoff checklists, scope letters, RFIs, bid clarifications.
Project coordination/PM support:
RFIs, submittal cover letters, meeting summaries, schedule update memos, using our templates.
Admin/owner support:
inbox triage, drafting responses, meeting notes, and simple reporting from spreadsheets/logs. Integrate assistants with existing tools where practical (email, shared drives, project management tools, spreadsheets) using low‑code/no‑code integrations and APIs. Train office staff to use the assistants effectively, including basic prompt patterns and guardrails. Monitor usage, gather feedback, and iterate to improve accuracy, reliability, and usability. Document workflows, system design, prompts, and maintenance steps so the company can operate and extend what you build after the pilot. Pilot objectives (what success looks like) By the end of the 3-6 month pilot, we expect: 3-5 AI assistants in active daily use by office staff. Measurable time savings per week across estimating, coordination, and admin roles (we will set clear targets together). Clear documentation and SOPs enabling us to maintain and extend these assistants after the engagement. Required qualifications 3+ years of hands‑on experience building AI‑driven or automation solutions in real business environments (e.g., AI engineer, AI automation engineer, workflow automation specialist, or similar). Strong experience with modern AI tools: large language models (e.g., GPT‑class), prompt engineering, and retrieval‑augmented workflows. Proficiency with automation/integration tools such as Zapier, Make, n8n, or custom integration scripts in Python or JavaScript. Demonstrated ability to observe and map business processes, then translate them into structured workflows and automations. Excellent communication skills with non‑technical users and experience leading short trainings or demos. Solid understanding of data privacy and security when using cloud‑based AI tools in a business setting Nice to have Experience in construction, real estate development, or other operationally intensive industries. Prior work building AI assistants or agents specifically for back‑office workflows (estimating, operations, finance, admin).
