Job Summary This position is being filled as a temporary (limited, unclassified) position for up to two (2) years. The appointment may be extended based on available funding and business needs, not to exceed three (3) years. The purpose for this position is to provide support to the Department of Administration (Admin) divisions by supporting hybrid-capable conference rooms, delivering end-to-end support for hybrid and virtual meetings, and ensuring workstations and related equipment remain functional and properly maintained. This position also contributes to workplace operations, special projects, and process documentation supporting continuous improvement efforts that enhance service reliability and overall workplace experience. Responsibilities include, but may not be limited to: Coordination of ongoing troubleshooting, maintenance, training, and supporting resources of all Admin conference rooms with hybrid meeting technology. Providing end-to-end support for hybrid and virtual meetings, ensuring seamless execution, high quality participant experience, and effective collaboration for both in-room and remote participants. Supporting workstation equipment, ensuring workspaces are functional, along with timely resolution of user issues and maintenance of inventory of workstation assets. Providing administrative and operational support for workplace initiatives and related special projects. Other duties as assigned. This position will be part of Admin's Office of Operational Excellence (OpEx). OpEx's mission is to develop an innovative, engaged, and inclusive workplace by setting up teams to be team-centric, results driven, and resilient. This position will be critical in achieving OpEx's mission by supporting workplace operations, leading special projects, and contributing to continuous improvement efforts that enhance the overall workplace experience. Due to the nature of work performed, this position is primarily onsite Monday-Thursday with eligibility to telework (i.e., work from home) one (1) day per week on Fridays. With a telework arrangement, this telework arrangement is subject to change as requested by management to meet business/customer needs. Completion of a telework agreement will be required. Please review the Telework Policy for details. Qualifications Minimum Qualifications The following qualifications are required of all applicants seeking consideration for this position. Only applicants whose application materials clearly demonstrate fulfillment of each of these minimum qualifications will be considered for the position. One (1) year of experience with and including troubleshooting information technology, conference rooms, audiovisual equipment, workstation setup, meeting logistics, or related. Basic technical knowledge to support hybrid conference room and meeting/collaboration technology. Proficiency in the use of common Microsoft Office tools: Word, Excel, PowerPoint, SharePoint, and Teams. Communication skills to communicate technical information to non-technical audiences. Customer service and human relations skills to effectively work with and assist team members at all levels of the organization with relevant business needs. Organization and time management skills to prioritize multiple requests. Preferred Qualifications Ability to design basic visuals or communication materials (e.g., slides, summaries, diagrams, checklists, templates, job aids, quick reference sheets, etc.) to support engagement activities and procedural rollouts. Ability to design and provide training on topics related to technical information to non-technical audiences. Technical writing experience to create business manuals, templates, memos, and other technical-related documents. Creative and innovative solutions, recommendations, and approaches in a constantly changing world of technological advancements. Ability to deal with ambiguity as problems encountered may not have any existing and/or clearly defined solutions or precedence. Champion change by continuously seeking and examining best practices. Interpersonal and human relations skills to develop and cultivate a strong team environment.
