Responsibilities Schedule and dispatch service calls, maintenance, and quoted work Communicate with customers for scheduling and updates Review technician notes and send customers the job reports Assist with invoicing and assigning purchase orders Convert approved quotes into active jobs Assist with fleet coordination Support onboarding and admin tasks Maintain office organization and supplies Provide exceptional customer service by addressing inquiries promptly via phone or email, ensuring positive interactions at all times Requirements Proven experience in office administration or clerical roles with strong organizational skills Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software like QuickBooks Excellent phone etiquette with experience handling multi-line phone systems and front desk responsibilities Ability to prioritize effectively Demonstrated ability to manage time efficiently while multitasking in a busy environment Experience in dispatching, office coordination or HVAC service preferred Strong organizational skills with attention to detail in proofreading and document management Join us to be part of a vibrant team dedicated to delivering outstanding service!
