POSITION SUMMARY
The Service Coordinator Assistant provides administrative and operational support to the Service Department. This position helps ensure work orders are properly documented, customer information is accurate, billing paperwork is complete, and service operations run efficiently. This role is ideal for someone who enjoys organization, attention to detail, customer service, and working in a fast-paced environment. The successful candidate will work closely with the Service Coordinator, Service Managers, technicians, customers, and accounting team. PRIMARY RESPONSIBILITIES
Administrative Support Assist the Service Coordinator with daily administrative activities Maintain accurate customer records and service documentation Organize and manage electronic job files Scan, upload, and file service reports, invoices, and supporting documents Answer incoming phone calls and direct inquiries appropriately Assist with customer communication regarding service requests and job status updates Work Order Management Review completed work orders for completeness and accuracy Verify labor, materials, equipment, and notes are properly documented Follow up with technicians to obtain missing paperwork or information Assist with closing service tickets in company software Monitor open work orders and identify outstanding items requiring attention Support billing preparation by ensuring documentation is complete Scheduling and Dispatch Support Assist with scheduling service calls as needed Support Service Managers with technician coordination Help update customer schedules and appointments Communicate schedule changes to customers and field personnel Billing and Documentation Support Assist with collecting documentation required for invoicing Review paperwork for accuracy prior to billing submission Track customer purchase orders and work authorizations Ensure billing packets are complete and organized Support accounting and operations teams with documentation requests General Office Duties Maintain office organization and records Assist with special projects assigned by management Support continuous improvement initiatives within the service department Perform other duties as assigned
QUALIFICATIONS
Required High school diploma or equivalent Strong organizational and time management skills Excellent verbal and written communication skills Basic proficiency with Microsoft Office applications Strong attention to detail Ability to multitask and prioritize responsibilities Professional attitude and appearance Strong customer service skills Preferred Previous administrative experience Experience in construction, HVAC, plumbing, mechanical contracting, or service industries Experience using Service Fusion or similar service management software Experience with QuickBooks or accounting software Dispatching or scheduling experience

COMPENSATION AND BENEFITS
Pay Range $18.00 - $22.00 per hour Compensation will be based on experience, qualifications, and demonstrated abilities.
