Job Description

The Role The Change Order Specialist is responsible for managing and processing requests to modify existing sales orders post-booking. This role involves reviewing change requests, assessing their impact on booking costs and customer billing, ensuring compliance with documentation and approval protocols, and coordinating with stakeholders to execute changes according to Business Process Management (BPM) standards.
Responsibilities Include:
Review Change Requests :
Analyze incoming change requests from internal teams or customers. Identify the reason for the change, its impact on the existing booking summary, and potential cost implications .
Negotiation :
Collaborate with internal teams on behalf of Inside Client Managers (ICMs), enabling them to focus on revenue-generating activities. Negotiate terms of change orders, including customer pricing and vendor costs.
Documentation :
Attach all relevant change order documents, clearly outlining modifications, cost breakdowns, and approvals as required.
Stakeholder Communication :
Communicate change requests and updates to the purchasing team. Provide details, including the MyOrders sales order number, vendor purchase order, and a copy of the vendor invoice if applicable.
Change Order Tracking :
Maintain the status of all change orders in the Change Order Management SharePoint site.
Reporting :
Generate and analyze reports on change order activity, including vendor costs and customer pricing.
Required Skills and Professional Experience:
Bachelor's Degree or equivalent experience and/or military experience Overall 3+ years of experience in sales support operations
Preferred Skills and Professional Experience:
Analytical Skills :
Ability to analyze complex situations, assess potential risks, and make informed decisions regarding change order requests.
Negotiation Skills :
Proven ability to negotiate effectively with internal and external teams to achieve mutually agreed terms for changes.
Communication Skills :
Excellent written and verbal communication skills to articulate change order requests and updates to internal and external teams clearly.
Detail-Oriented :
Strong attention to detail to ensure accuracy in documentation, cost analysis, and reporting.
Technical Proficiency :
Familiarity with tools such as SharePoint and MyOrders, and proficiency in excel, generating and interpreting reports.
