Job Summary:
As a Technology Assistant at Phoenix, you will provide essential operational and administrative support to the Technology department and cross-functional teams throughout the organization. This in-office role is central to ensuring that technology initiatives are well-coordinated, meetings are productive, and projects move forward efficiently. The ideal candidate is highly organized, an effective communicator, and comfortable working in a fast-paced environment where attention to detail and proactive follow-through are critical to success.
Responsibilities:
Collaborate with internal departments—including, but not limited to, Business Operations, Finance, Marketing and Capital Markets—to support technology-driven projects and initiatives from inception through completion. Attend and actively participate in team and cross-departmental meetings, taking accurate and thorough notes to capture decisions, action items, and follow-up tasks. Prepare, distribute, and file meeting notes and project summaries promptly to ensure all stakeholders remain aligned and informed. Coordinate and schedule meetings with external vendors, technology partners, and service providers, including sending invitations and confirming attendance. Support project management activities, including tracking project timelines, milestones, and deliverables, using project management tools and platforms. Generate and maintain regular status reports on active technology projects, escalating issues or blockers to the appropriate team members as needed. Assist in the preparation of presentations, documentation, and briefing materials for leadership and department stakeholders. Maintain organized records of vendor communications, contracts, and technology procurement activities. Perform other duties and special projects as assigned by management.
Skills:
Ability to work collaboratively across departments and build positive relationships with internal teams and external vendors. Strong attention to detail and a commitment to accuracy in documentation and reporting. Self-motivated, proactive, and comfortable working independently while maintaining alignment with team goals. Discretion and professionalism in handling sensitive or confidential information. Basic understanding of technology concepts and terminology is a plus, though deep technical expertise is not required.
Requirements:
Minimum 2 years of experience in an administrative, project coordination, or technology support role preferred. Demonstrated ability to take clear and organized meeting notes and translate them into actionable summaries. Proven experience coordinating schedules and managing meetings with both internal stakeholders and external vendors. Familiarity with project tracking and reporting tools; experience with Notion, Asana, Monday.com, Jira, or similar platforms is a plus. Comfortable working in a structured, in-office environment Monday through Friday. Ability to adapt quickly to new tools, processes, and priorities in a dynamic technology-driven organization. Strong organizational and time management skills with the ability to juggle multiple priorities and deadlines simultaneously. Excellent written and verbal communication skills, including the ability to produce clear, concise meeting notes and project reports. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management platforms such as Asana, Monday.com, or similar tools. Experience scheduling and coordinating meetings across time zones using calendar tools such as Microsoft Outlook or Google Calendar.
Education:
Associate's or Bachelor's degree in business administration, Information Technology, Communications, or a related field preferred, or equivalent combination of education and professional experience.
