You will keep the day-to-day operations of a growing Washington-based window and door installation company running smoothly, from customer communication and scheduling to documentation and follow-up. You believe responsiveness matters, and you do not let messages, contracts, or invoices sit overnight. You love working independently and making judgment calls without waiting for step-by-step direction. You are the kind of admin who notices when something is about to fall through the cracks and quietly handles it before anyone has to ask. You are clear and professional in writing, on the phone, and over text. You bring strong proficiency with Google Workspace and a CRM (ClickUp is a plus), along with comfort using business tools like Adobe Sign, Stripe, or Square. Who We Are Window Fellas is a window and door installation company based in Washington state. We offer quality brands along with expert advice to help homeowners find the right windows and doors for their home. We are a small, growing team that values reliable people who can communicate clearly and work independently. We operate on Pacific Time and are looking for someone who can be available during midday business hours. What You Will Do Each Day Monitor company inboxes (email and text) and respond or route to the right team member. Manage customer documentation, contracts via Adobe Sign, and payment links via Stripe or Square in ClickUp. Schedule measure and installation appointments by coordinating customer availability against installer and team calendars. Communicate with subcontractors to schedule installs, audit incoming invoices, and relay updates between installers, customers, and owners. Support sales by preparing quote documentation, job proposals, and product specs from customer requests. Assist with light marketing tasks, including organic social posts on Instagram, Facebook, Google Business Profile, and Yelp.
