Job Description:
Our client is seeking a detail-oriented and highly professional Administrative Assistant to support a team of senior advisors within a Private Wealth Management firm in San Francisco. This will be in a fast-paced, complex team environment requiring the utmost discretion and professionalism.
NOTE:
This is a 12-month contract role.
Job Summary and Responsibilities:
  • Maintain complex and extremely detailed calendars, including senior-level internal and external meetings and conference calls
  • Prioritize meeting requests and related logistics
  • Manage a high volume of phone calls and interact with high-level business leaders and clients in a professional and effective manner
  • Coordinate logistics for client calls and meetings
  • Respond to and follow up on requests in a timely manner
  • Coordinate domestic and international travel arrangements, including visa procurement
  • Process expense reports accordingly
  • Prepare and distribute correspondence, agendas, letters, reports, and other documents as requested
  • Support onboarding of new hires across the region
  • Assist with general office administrative duties including copying, filing, faxing, archiving, shipping, managing supplies, facilities management, and event planning
  • Organize and ship materials to clients as needed
  • Work with conference and catering services for client engagements
  • Maintain an understanding of firm policies and handle certain issues independently
Qualifications :
  • 5+ years of experience supporting senior executives in a complex environment, preferably in financial services, private sector, or government
  • Excellent judgement and discretion when handling confidential or sensitive information
  • Strong written and verbal communication skills with a consistent, professional demeanor
  • Extreme attention to detail and organizational skills with the ability to prioritize
  • Quick learner and self-starter with strong anticipation skills
  • Proactive problem solver and independent thinker
  • Ability to work well under pressure, adapt to unexpected events, and multi-task in a deadline-driven environment
  • Strong proficiency in Microsoft Office
  • Experience with expense platforms such as Concur or similar tools
  • Positive, team-oriented attitude
