Job Description
As Title Clerk, you are responsible for managing the title and registration processes for vehicles sold by the dealership. This role ensures that all paperwork is accurately processed and filed in compliance with state and federal regulations. This position works closely with sales staff, finance department, and external agencies to ensure a smooth and efficient transaction experience for customers. Job Duties and Responsibilities including, but not limited to: Pull and review legal titling documents from car deals (titles, reassignments, power of attorney, etc.) for correct signatures and verify that the dealership has all necessary forms from the customer to complete a new/used vehicle sale. File trade-titles after the titles are free and clear. File MSOs for new vehicles received from the OEM . Process the customers' title applications with the states of Minnesota, Wisconsin, Iowa and South Dakota after vehicle sales through VITU (third-party). Provide VITU with necessary documents to process out of state title applications not listed above. Track the status of these deals to ensure a clean transaction for our customers. Report trade-in vehicles as held for resale. Call financial institutions to verify the status of outstanding lien releases after trade payoffs have been made. Assist customers with any concerns or questions over their vehicle registration. Post Accounts Payable invoices into Tekion. Reconcile AP vendor statements. Communicate with vendors over any AP invoice or statement issues. Assist with AP processing at GMC Process AP payments weekly at both Mauer Chevrolet and Mauer GMC. Send Accounts Receivable statements to charge customers after the month has been closed at Mauer Chevrolet. Post the GM Parts Open Account invoices at Mauer Chevrolet. Process morning deposit at Mauer Chevrolet when coverage is needed. Emergency reception and cashier when coverage is needed. Post new vehicle invoices into the general ledger when coverage is needed. Post new inventory invoices to GL when coverage is needed. Always conduct business in an ethical and professional manner. Exhibits high level of commitment to customer satisfaction. Maintains professional appearance. Ensure compliance with all applicable laws, rules, regulations (i.e. OSHA Right-to-Know), and standards to maintain the legality and business integrity of Dealership. Ensure that the work areas and guest areas are kept clean. Maintain safe work environment. Other tasks as assigned. Requirements Strong motivation. Excellent customer service skills. Ability to manage change and detail-oriented processes. Maintain a valid driver's license with a clean record. Comply with all dealership and manufacturer job-related training and requirements. Adhere to the employee handbook policies and procedures. Excellent computer skills, including Excel. Ability to achieve goals with high guest satisfaction ratings. Strong communication skills, both verbal and written, and ability to influence management on process improvements.
