Job Description
JOB RESPONSIBILITIES
Administrative & Operational Support Provide day-to-day administrative support to the Training and Development Manager and Training Specialists, including scheduling, correspondence, filing and document preparation.Prepare and maintain training materials, classroom resources, and equipment in advance of each session to ensure readiness.
Coordinate room reservations, technology setups, and supply procurement for training events.
Serve as backup support for Training Specialists during webinars or high-volume periods.
Perform other duties as assigned by the Training and Development Manager Departmental Communications Serve as the primary custodian of the Training Department's shared email inbox, monitoring and triaging incoming correspondence on a daily basis.
Respond to routine training inquiries promptly and route complex or escalated matters to appropriate team members.
Draft, proofread, and distribute departmental communications including announcements, policy updates, and training invitations to employees and managers across the organization.
Maintain a professional, service-oriented tone in all written and verbal communications consistent with CTBI's values. Training Registration & Calendar Management Manage the Training Department's master training calendar, ensuring all scheduled sessions, webinars, and development events are accurately reflected and current.
Process employees training registrations and confirmations, communicating enrollement status to participants and their supervisors as appropriate.
Track and maintain attendance records for all training sessions, webinars, and external development programs.
Coordinate with the managers and HR to reconcile training completion records and flag incomplete or overdue assignments. Evaluation & Data Collection Administer course evaluations and participant feedback surveys following training sessions, including distribution, collection and data entry.
Compile, organize and maintain evaluation data in Excel and other departmental systems; generate summary reports for the Manager on a recurring basis.
Support the Manager and Training Specialist in tracking key training metrics such as completion rates, participant satisfaction scores, and compliance training status. Educational Reimbursements & Special Processes Processes employee educational reimbursement requests in accordance with Bank policy, reviewing documentation for completeness and eligibility.
Coordinates with Finance/Payroll to facilitate timely approvals and maintains accurate reimbursement records. Records Management Responsible for departmental record management, ensuring files are organized, current, and audit-ready.
Ensures employees and vendors follow established training policies and procedures.
SKILLS, KNOWLEDGE & ABILITIES
Strong organizational skills with the ability to manage multiple priorities simultaneously.Advanced proficiency in Microsoft Excel strongly preferred; working knowledge of Word and Outlook required.
Excellent written and verbal communication skills; ability to compose clear, professional correspondence.
Strong customer service orientation with a team-focused approach.
Ability to handle sensitive information with discretion and professionalism.
Experience with Learning Management Systems (LMS) or training platform is a plus.
EDUCATION & EXPERIENCE
High school diploma or equivalent requiredMinimum two years of administrative or office support experience, background in training, HR, or financial services is a plus.WORKING CONDITIONS
This position requires full-time, on-site presence at Community Trust Bank headquarters in Pikeville, KY. No remote or hybrid arrange is available.Standard office environment with normal business hours.
