Job Description
Position Summary The Training and Safety Coordinator supports Tri-State Drilling's Environmental, Health, Safety & Training (EHST) programs by coordinating, delivering, and documenting training for DOT drivers, heavy equipment operators, and field/office employees. This role manages the training calendar, onboarding/orientation, and required safety and DOT refresher training, while maintaining accurate training and qualification records in company systems (HCSS Safety, Microsoft 365, and supporting databases). The position is based at the Plymouth, MN main office with periodic visits to company yards, training sessions, and job sites to support hands-on training, coaching, and compliance verification. This position reports to the Director, EHST. Essential Job Duties and Responsibilities This list of duties and responsibilities is not all-inclusive and may be expanded to include other responsibilities as necessary. Training Program Coordination and Delivery Build and maintain the annual training plan and calendar (new hire, refresher, and task-specific training). Coordinate and deliver new-hire orientation and onboarding training; ensure required documentation is completed. Develop and maintain training materials (presentations, toolbox talks, quizzes, and practical evaluations) aligned with company policies and
OSHA/DOT
requirements. Schedule and coordinate required refresher training (e.g., HAZCOM, fall protection, rigging, lockout/tagout, defensive driving, cold/heat stress) with Operations and Safety. Track training completion, maintain rosters/certificates, and close training gaps; communicate status and needs to supervisors and EHST leadership. DOT Driver Training and Compliance Support (FMCSA/DOT) Coordinate DOT-required training and communications for CDL drivers (drug and alcohol program, post-accident procedures, reasonable suspicion, return-to-duty, hours of service/ELD, and pre-trip inspections). Support DOT-required drug and alcohol testing administration in coordination withHR and Operations:
Pre-employment, random, post-incident, reasonable suspicion, return-to-duty, and follow-up testing. Maintain confidential DOT records in accordance with FMCSA/DOT and company recordkeeping and retention requirements (DQ files, testing records, training certificates). Track driver qualification status and expiration dates (CDL, medical cards, endorsements) and coordinate corrective training after DOT events/inspections; provide regular status reports to HR, Operations, and EHST. Interface with third-party background check, testing, and training vendors; resolve discrepancies and ensure timely turnaround. HCSS Safety and Training Administration (Forms, Meetings, Skills) Serve as the primary administrator for HCSS Safety modules related to: Safety forms (observations, audits, incident reports, inspections). Safety meetings / toolbox talks and attendance. Skills, training, certifications, and operator qualifications. Set up and maintain employee, crew, project, and training matrix records to ensure data is correctly attributed. Assist Safety Managers, Foremen, and Supervisors with entering, correcting, and closing out training, meetings, and safety forms when needed. Upload, track, and maintain training and certification documentation in HCSS (e.g., OSHA 10/30, NCCCO, forklift/telehandler, First Aid/CPR). Generate regular and ad-hoc reports for EHST leadership and Operations (training compliance, expirations, meeting completion, observation trends). Help test and roll out new HCSS forms, workflows, and training updates as EHST programs evolve. Safety Communications, Toolbox Talks, and Engagement Maintain the toolbox talk library and safety training resources; coordinate weekly/monthly topics and distribution. Support development of monthly Safety Focus campaigns, posters, and jobsite talking points in coordination with EHST. Prepare and distribute agendas, sign-in sheets, and documentation for EHST-related meetings and training events. Support field leadership with coaching on good catch quality and safety observation expectations; provide quick reference guides. Assist with incident and near-miss communications and lessons learned; help ensure corrective actions are communicated and understood. Maintain an organized archive of training materials, communications, and program documents for audit and post-event review. Equipment Operator Qualification and Skills Support Coordinate operator evaluations and task training for drilling equipment, cranes, forklifts/telehandlers, and other heavy equipment per company requirements. Maintain qualification records, checklists, and practical evaluations; track expirations and re-qualification intervals. Coordinate third-party training and certifications as needed; schedule classes and manage documentation. Flag qualification gaps or recurring skill issues to EHST and Operations; support targeted retraining plans. Data, Reporting, and Continuous Improvement Perform quality checks on training and safety data (HCSS entries, rosters, certification uploads) to ensure completeness and consistency. Prepare dashboards, summaries, and periodic reports for leadership on training compliance, expirations, and participation; highlight trends and gaps. Support EHST continuous improvement projects by gathering data, assisting with process mapping, and documenting procedures. Provide responsive support to Operations, Safety Managers, and HR on training status, documentation requests, and audit needs. Compliance Support and Recordkeeping Maintain organized, secure, and audit-ready training and safety records consistent with company policy, DOT requirements, and client expectations. Support incident and claim documentation by organizing training/qualification records and other requested materials in designated systems. Assist EHST leadership in maintaining and updating standard operating procedures, templates, and forms tied to training and qualification processes. Backup Coverage - Safety, Training & Quality Control Admin Support Provide backup support for Site-Specific Safety Plans (SSSPs) and project safety documentation when the EHST Admin is out or workload requires. Assist with background checks and onboarding screenings as assigned; coordinate with HR and vendors to keep hiring moving. Provide backup administration for Weather Sentry (user lists, sites, alert settings) and support communication of weather alerts and procedures. Support quality document control tasks as assigned (as-built packages, submittals, revision tracking, and closeout files). Help maintain QA checklists/logs and assist with audit preparation (document requests, organized electronic packages). Support reporting and follow-up on open administrative items to ensure deadlines are met and documentation is complete. Qualifications Associate's or Bachelor's degree in EHS, Training, Human Resources, or related field preferred; equivalent experience will be considered. 3+ years of experience coordinating and/or delivering safety training, preferably in construction, heavy civil, or industrial environments. Working knowledge of OSHA construction requirements andDOT/FMCSA
concepts for CDL drivers (training, recordkeeping, and compliance). Experience with safety/training software (e.g., HCSS Safety, LMS, HRIS) preferred; ability to build and maintain training matrices. Strong proficiency in Microsoft 365 (Teams, Excel, Word, Outlook, SharePoint). Strong communication and facilitation skills; comfortable presenting to field crews and supervisors. Excellent attention to detail, organization, and ability to handle confidential information with discretion. Work Environment Office-based role with frequent computer and phone work; regular interaction with field and office personnel. Must be able to sit for extended periods, use standard office equipment, and manage electronic records accurately. Periodic visits to company yards, training rooms, and job sites may be required; must be able to wear required PPE and work around heavy equipment safely.
